Reports to: Director, Prospect Research and Portfolio Management

Purpose: The job holder is responsible for ensuring that the data and records of donors, prospective donors and other friends and supporters of The American University in Cairo (AUC), are accurate, comprehensive and up-to-date. He/she will implement a strategy that establishes clear priorities for data integrity, maintenance, and hygiene that are aligned with the research and prospect management strategies and the institutional advancement priorities. In addition, undertake research tasks and assist in preparing research briefings and bios for meetings and events on prospects/donors using diverse resources. He/she will be responsible for dissemination of information in the database as requested. The job holder will follow, implement and advance best practices in higher education advancement.

Responsibilities:

Develop, maintain, and update information on new and existing prospective donors:

  • Coordinate with the director to develop and implement a comprehensive strategy for donors and prospects data and records management
  • Responsible for the dissemination of information and updates from relevant documents; briefings, invitees list to events of specific themes/interest, as needed/requested
  • Assist in developing and implementing a strategy to ensure the integrity of data entry related to donors and prospective donors
  • Maintain up-to-date database of all advancement constituents this includes collection, entry and update of biographical, academic, employment and personal information and relationships to other database constituents
  • Maintain and continuously review and deliver on a schedule of priority data projects
  • Monitor the salesforce data through the use of queries, exports, and reports and flag errors to ensure data coding accuracy in the database is maintained and that established guidelines are followed
  • Create a data audit library to verify the accuracy of data in the database and update accordingly
  • Identify and secure access to diverse sources of information (Advancement staff, online resources, services, University records and so on) that are required to update records. Also, use different resources to obtain needed information/updates on prospects/donors such as emails, titles, phone numbers
  • Update records and information ensuring that they meet the highest standards of accuracy and comprehensiveness
  • Ensure activities and correspondence related to donors/prospects are recorded in salesforce
  • Create and maintain records for newly identified prospects
  • Update constituent records with new or revised information
  • Pursue opportunities to streamline the delivery of and increase accessibility of information
  • Provide updates to gift officers and staff on existing prospects and also discover new donors
  • Share responsibility for database integrity efforts

Trips, Visits and Events preparation:

  • Prepare briefing materials to support discovery contacts/visits
  • Assist in briefing preparations for presidential trips as requested
  • Prepare summary profiles for presidential events

Other Responsibilities:

  • Participate in staff meetings, monthly prospect meetings and any additional committees or meetings, as appropriate, to assist in prospect identification, tracking and development plans to solicit or engage prospects
  • Participate in training, education opportunities and appropriate professional organizations (APRA, CASE, AFP)
  • Adhere to ethical and confidentiality guidelines for CASE and APRA, as well as AUC’s standards for ethics and data privacy
  • Perform other related duties and responsibilities, as requested by direct supervisor

Requirements:

Minimum Education Requirements:

· Bachelor’s degree is required

Experience:

  • Minimum of 5 years of professional experience
  • Experience with Salesforce or similar Content Management System (CMS) database in an international non-profit, academic, research, public policy or other similar institution
  • Experience in fundraising (preferable)

Skills:

  • Experience working with diverse individuals to secure and deliver information on strict schedules
  • Highly organized, with an ability to manage multiple projects and demanding schedules
  • Fast and accurate data entry skills
  • High attention to detail
  • Experience with online research tools and resources
  • Results and service-oriented attitude with special attention to responding timely with accuracy and precision
  • Ability to work in a fast-paced collaborative team environment
  • A collegial and professional manner
  • Strong ethical manner, and an ability to handle sensitive and confidential information appropriately and with discretion
  • Excellent Knowledge of Microsoft Office and Customer Relationship Management
