Manager, Student Services, School of Global Affairs and Public Policy, (GAPP) Limited Time Contract

Reports to: Department Chair

Purpose: The job holder will manage the student academic services pertaining to the mass communication department majors: integrated marketing communication, communication and media arts and journalism undergraduate and post graduate.

Responsibilities

  • Developing and implementing of a new automated advising system at the department level
  • Assessing the new advising system via collecting feedbacks from students and faculty
  • Conduct workshops for Argos and Banner system to journalism and mass communication staff and faculty
  • Updating and setting new advising procedure at journalism and mass communication and developing automated advising system
  • Making sure that the set advising policy and regulations are in place
  • Advising students, assigning students advisees to faculty, handling all student inquiries including but not limited to online overloads, drop/adds, change of major, change of substitutions, declare minor, adherence to department policy
  • Lead and manage the automated advising sheet, organizing the number of students to each professor
  • Lead and manage the student evaluation of the advising process, fill the forms on the system
  • Assist the department chair in preparing the four-year plan for the three majors multimedia journalism, communication and media arts, integrated marketing communication
  • Mange the registration; process of all departments undergraduate and post graduate students in academic advising and registration process
  • Assist department chair, in preparing of class schedule and university catalog
  • Handles all class changes, post the schedule on the web
  • Provide the department chair and associate department chair and the graduate director, in all statistical data reports
  • Lead the declaration and change of major, double major requests ensuring that all processes are functioning properly and serving the objective of the forms
  • Revises and checks, overload petitions, curriculum changes
  • Guide and Orient new faculty regarding department policies and procedures
  • Advises students on academic, career and personal issues; identifies the education and career options appropriate for each student and assists in the analysis of each option, including possible outcomes and their implications; if needed
  • Provides student with broad and comprehensive knowledge of university curriculum and course content and assists with decision-making
  • Advises students with academic issues to develop academic action plan; and monitors student's progress
  • Works closely with other academic advisors and counselors in order to provide timely information on course/degree options and university policies; make appropriate referrals
  • Make appropriate referrals and pursue following up on students and faculty affairs
  • Responds to inquiries and meets with prospective students to explain program offerings
  • Assist the associate chair in evaluating transfer transcripts from other academic institutions for equivalencies and application to degree program
  • Assists in recruitment of potential students by advising them of general academic requirements of a specific college; describes courses; disseminates information regarding registration procedures; prepares recruitment packets
  • Trains and guides the work of others and faculty members when needed
  • Monitors academic progress of students; analyzes progress reports from instructors; determines eligibility and satisfactory progress toward departmental degrees
  • Anticipates and Identifies current and potential needs or problem areas (study skills, tutoring) and refers students to appropriate campus resources for assistance, and communicates them to appropriate coaches and administrators
  • Manage files for faculty course syllabus outline and outcomes of all courses in the journalism and mass communication department
  • Receives the graduate online applications and distribute them to the graduate director, the department chair and send them online to the GAPP dean
  • Coordinates and administers student evaluations of journalism and mass communication faculty
  • Works on Argos system, receives graduate fellowships, form distributes them to the department chair/graduate director then post the results
  • Member in the CARE foundation committee which deals with affairs problems related to advising registration drop and add declaration
  • Coordinate and proctor the journalism and mass communication English proficiency test
  • Any other duties as assigned by the department chair

Requirements:

Minimum Education Requirement

  • University degree is required

Experience

  • A minimum of 10 years of previous experience including 2 years in related fields

  • Knowledge of university and college curriculum content and requirements
  • Knowledge of advising practices and principles
  • Interpersonal and communication Skills
  • Skill in both verbal and written communication
  • Skill in interviewing and advising
  • Basic computer skills, Banner and Argos are assets
