Reports to: Director, Gift Administration and Stewardship, Department of Institutional Advancement and Alumni Relations

Purpose : The job holder is responsible for donor recognition, reporting and stewardship, ensuring that donors to the University are recognized and appreciated, and that they receive timely information on the impact of their gifts. Within advancement services, he/she works closely with University faculty, students, administration, fundraisers and other colleagues to maintain strong, positive and ongoing relations with donors to The American University in Cairo (AUC) and to publicize the impact of philanthropy at the University. Also, coordinate the production of high-quality donor reports, donor stewardship correspondence, e-newsletters, the website, and other communications and so on. A key member of the institutional advancement team, is to implement and advance best practices in higher education advancement stewardship.

Responsibilities:

Donor Stewardship:

  • With the director of gift administration and stewardship, develop and implement a comprehensive strategy for donor reporting and donor stewardship for all levels of donors
  • Report on donors and the impact of gifts across university communications, including annual reports, e-newsletters, websites, donor-related special events and presentations
  • Responsible for the process of drafting, designing, and disseminating key reports on fund beneficiaries including but not limited to:
  • Collection of narratives and photos on progress of beneficiaries
  • Information gathering associated with donor stewardship reporting process and ensuring that all the data related to the fund’s beneficiaries are collected on a timely basis and reflected accurately on salesforce
  • Interviewing professors, students, fellows and University administration
  • Drafting stewardship reports covering scholarships, fellowships, professorships, awards and other miscellaneous funds
  • Partner with fundraisers to develop personalized stewardship plans for their donors. Maintain a comprehensive stewardship schedule and ensure that donors receive correspondence, reports, information and briefings related to their gifts in a highly professional and timely manner
  • Record stewardship data accurately in the database
  • Confirm all donors receive their annual benefits as per gift agreements
  • Ensure related information on Salesforce and in other donor files and records is up-to-date and accurate
  • Explore digital stewardship solutions in collaboration with the director of gift administration and stewardship

Key contact person with beneficiaries including students:

  • Responsible for direct personal communication with scholarship and fellowship beneficiaries
  • Emailing all new fund beneficiaries every semester to establish contact
  • Maintaining contact with all student fund beneficiaries
  • Arranging for meetings with scholarship and fellowship students every semester
  • Work closely with funds’ beneficiaries for any stewardship-related requests

Partner with Senior Writer and Editor:

  • Partner with the senior writer and editor to secure, review and edit content from faculty and administration, for diverse reports and updates for donors, ensuring that information is comprehensive of a high quality and accurate
  • Partner with the senior writer and editor in the production of reports and related communications for donors

Relationship with Various Constituencies:

  • Maintain excellent working relationships with University leadership, faculty, administration and students
  • Maintain strong working relationships with fundraisers and advancement services staff, ensuring an integrated, professional and timely approach to donor stewardship.

AUC Giving Website:

· Ensure that funds and donor honor roll is up-to-date

Stewardship Policy:

  • Oversee and monitor related stewardship policies and practices, continuously reviewing and updating as necessary
  • Build collaborative relationships on campus and coordinate with academic and administrative departments and students as needed
  • Perform other duties as requested from direct supervisor

Requirements:

Minimum Education Requirements:

· Bachelor’s degree, master’s preferred in journalism, communications, marketing, business or a related field.

Experience:

  • Minimum 7 years of professional experience
  • Experience in fundraising, communications or reporting in an international non-profit, academic, research, public policy or other similar institution
  • Experience in fundraising stewardship (preferable)
  • Experience with multimedia communication tools and relevant technology.

Skills:

  • Ability to convey diverse and occasionally complex subjects in compelling, clear and concise manner
  • Experience working with diverse individuals to secure and deliver information on strict schedules
  • Strong writing, editing and proofreading skills. Ability to easily change writing styles to fit the audience and voice of the piece
  • Experience in overseeing the production of reports especially in digital format, publications, websites or e-communications
  • Financial literacy
  • Highly organized, with an ability to manage multiple projects and demanding schedules
  • High attention to accuracy and detail
  • Experience with and knowledge of video editing software and InDesign
  • A creative mindset
  • Ability to interact effectively with a wide variety of people on and off campus
  • Collegial and professional manner
  • Strong ethical behavior, and an ability to handle sensitive and confidential information appropriately and with discretion
  • Knowledge Salesforce database is an asset
  • Proficient in Microsoft Office, including Word, Excel, and PowerPoint
