Reports to: Assistant Director, School of Continuing Education Enrollment Services

Purpose: The job holder will provide assistance with special emphasis on customer service for certificate completion requirements. He/she will respond to certification requests and coordinate requests across multiple office locations. In addition, interpret and enforces registration rules, service fees and regulations. Assist in teaching School of Continuing Education (SCE) learners’ navigation of online services, receiving placement exam ID cards and updated term ID schedules cards. The job holder will run needed Argos report to ensure review student eligibility and checking appropriate authorizations before issuing ID cards. He/she will guide visitors to complete SCE online customer services questionnaire used for office service evaluation.

Responsibilities:

  • Assist in completion of submitted enrollment verification forms
  • Serve leaners and parents as the first point of contact for requests for enrollment letters, certificates and/or transcripts as submitted by learner requests
  • Ensure that all information and services provided is accurate in a timely manner and in accordance to University policies and student privacy law Family Educational Rights and Privacy Act (FERPA) by mail, email or fax
  • Maintain proper filing system for accurate and timely retrieval of certification documents
  • Assist learners in navigation of SCE online self-services
  • Review student fee balances to ensure that all tuition fees have been settled or that appropriate authorized exceptions are present
  • Charge students appropriate Id replacement fees and service fees according to service requested and number of copies
  • Run appropriate Argos report to issue new applicants’ test exam cards and attaches relevant test sample and disclaimer
  • Assist new applicants in understanding information and acronyms printed on the test card and provide them with detailed clear instructions in regards to exam date, time and location
  • Run appropriate Argos report to issue registered students term schedule card and attaches disclaimer and flyer with description of acronyms and abbreviations on the card
  • Assist registered learners in reading and comprehending the term schedule card and its acronyms and guide them to additional vital school notes at the back of the tem schedule card
  • Ensure that both the test exam and term schedule card are stamped with the appropriate term beginning date and SCE campus address for student reference
  • Guide all visitors to the office to complete the SCE online customer services questionnaire
  • Assume additional responsibilities as assigned

Requirements:

Minimum Education Requirements:

  • Bachelor’s degree or equivalent

Experience:

  • 2 years’ experience, preferably in a related field

Skills:

  • Good English and Arabic language skills both oral and written
  • Good interpersonal skills and commitment
  • High Sense of responsibility and commitment and customer service skills
  • Ability to work under pressure and handle appropriate telephony technology
  • Ability to calculate numbers, correct entries, and post to computerized records
  • Attention to detail and implementation of FERPA regulations
  • Skill in the use of IT and related software applications and computerized student information systems preferred such as telephony system, Argos and Banner
  • Working knowledge of Microsoft Office Suite
