Assistant Provost for Faculty Affairs

Purpose: Works closely with the provost to manage the faculty affairs for more than 470 full-time faculty and 300 adjunct faculty in the University; including faculty recruitment, appointment agreements, reviews, contract renewals, tenure and/or promotion eligibility, faculty leaves eligibility and schedule, and any other faculty related issues that support the academic strategic plan and respond to the academic needs as set by the provost. Provides advice and consultation to solve problems and liaising with all faculty affairs.

Principal Accountabilities:

General Faculty Affairs:

  • Act as a thought leader in faculty affairs, inspiring positive change and excellence with leadership, faculty, staff and administrators.
  • Provide strategic and operational leadership in faculty recruitment and retention.
  • Serve as an ambassador for AUC faculty affairs at national and international conferences.
  • Advise the Provost Council and senior academic leadership of the University regarding issues related to faculty affairs.
  • Interpret policy and advises deans, associate provosts and chairs of departments on University policies and procedures on matters related to faculty affairs
  • Conduct research and prepare analytical executive reports for the provost and prepares memoranda as needed in all matters related to faculty affairs.
  • Lead the development of full-time faculty teaching load sheets, overloads and release time and monitor its compliance with AUC policies.
  • Verify and direct overload and any additional compensation data to the human resources and payroll offices.
  • Responds to inquiries, requests and complaints using resourcefulness, judgment and discretion in seeking responses or providing referrals on behalf of the Provost.
  • Monitor and review all full-time faculty positions, tenure slots and optimal faculty numbers.
  • Monitor the individual faculty evaluation and review clock and advise schools and assistants to deans on review dates and deadlines, for renewals and/or end of contracts.
  • Manage faculty leave requests, monitors their compliance with faculty contracts and AUC policies, monitor and verify the leaves clock, medical leave requests and advise the provost on eligibility providing complete information for his approval.
  • Manage full-time and adjunct faculty data and review faculty data on the mainframe systems such as SAP, online faculty roster, and e-repertoire.
  • Manage annual faculty evaluation reports, prepare annual supplemental increments and annual salary letters with the provost.
  • Embrace a data-driven decision-making organization and ensures that the data necessary for academic planning and decision-making are available as needed.
  • Review all evaluations and files regarding the reappointment, promotion, tenure or dismissal of faculty and make recommendation to the provost.
  • Provide needed analysis for faculty data.

Faculty Recruitment and Retention:

  • Oversee all functions of faculty recruitment and retention, including faculty searches.
  • Establish and maintain an effective plan that supports the recruitment and retention of highly qualified faculty.
  • Manage and coordinate the process of recruitment and hiring of new faculty with the provost (average of 60 searches per year). Review the procedures and deadlines of hiring requests, identify vacant positions, review the advertisement information and its placement at the relevant online venues/websites, receive short lists from deans, and draft agreement letters for finalists as approved by the provost and in consultation with the Legal Office and the Office of Human Resources.
  • Assist deans, department chairs, and faculty with issues associated with hiring and retention.
  • Provide new faculty hires with information and guidance and direct them to the HR to proceed with the hiring paperwork. Oversee that the information on new faculty is sent to the Faculty Services Office, the Business Support Office, the University Registrar, the Office of Strategy Management and Institutional Effectiveness (SMIE), the Center for Learning and Teaching, the Budget Office and the Human Resources offices.
  • Lead a background check on faculty hires (including a criminal records check) must be completed satisfactorily before any candidate can be offered a position with the AUC.

Tenure, Promotion and Renewals:

  • Coordinate the University’s annual P&T process and any expedited P&T recommendations with the schools/departments, the provost and the Office of the President.
  • Review all P&T recommendations for the faculty candidates and provide individual summaries for the provost.
  • Develop annual P&T calendar and procedures for the P&T process and communicate timeline and process to chairs, deans and other administrators, as applicable.
  • Serve as University expert on faculty promotion and tenure policies/procedures and provides consultation and guidance, as needed.
  • Oversee the University’s promotion and tenure committee in the review/update of the University’s promotion and tenure policies and procedures.
  • Serve as liaison for the provost to the University’s P&T committees, including providing training to the committees and overseeing the work of the chairs.
  • Oversee P&T appeals and the University’s P&T appeals committee.
  • Work with the University’s P&T committee in providing guidance to schools/units in the development of P&T unit guidelines, etc.
  • Oversee the development of P&T spreadsheets and reports.
  • Oversee the preparation of correspondence sent to faculty who are approved for promotion and/or tenure.
  • Oversee the review and contract renewals of faculty (on non-tenure track positions).

Faculty Policies and Procedures:

  • Propose changes and updates in the policies and procedures related to faculty to make sure that they are updated on a regular basis. Develop a timeline for the review and ensure that reviews are in accordance with the University policy review procedures.
  • Make recommendations for development of new policies or enhancements to current policies in support of faculty success/retention such as sabbatical/development leave and pre-tenure leave.
  • Coordinate the review of university policies and procedures with groups of university stakeholders, as appropriate, and make recommendations to the provost for any changes.

Programs for Emeriti and Retired Faculty:

  • Provide support and resources to emeriti and retired faculty.
  • Develop and maintain a retired faculty directory.

Adjunct faculty personnel:

  • Develop and implement a University orientation program for adjunct faculty.
  • In conjunction with University stakeholders, update the adjunct faculty handbook.
  • Oversee the development and implementation of a University wide performance planning and evaluation process for adjunct faculty.
  • Develop professional development programs on topics applicable to adjunct faculty.
  • Serve as University resource for adjunct faculty.
  • Ensure compliance with work hour restrictions for adjunct faculty.
  • Any other duties assigned by the provost.

Requirements:

Minimum Education Requirement:  

  • University degree is required
  • Master degree is preferred

Experience:

  • Minimum of 15 years of relevant professional experience in related field, including five years in management position
  • Previous experience with academic institute is preferred.
  • Knowledge of academic policies in American institutes.

  • Strong computer and written communication skills.
  • High proficiency in spoken and written English and Arabic is a requirement, facility with Excel and SAP.
