EU Project Administrator

DTU Fotonik is looking for an EU Project Administrator. The Project Administrator will provide administrative support to the Project Leaders in managing externally funded EU projects (ITN projects) and will develop and implement lean administrative processes and procedures on the projects.

The Project Administrator is organizationally associated to the Administrative group at the department and will have close cooperation with colleagues at another DTU department, where they have the same administrative specialization.

Job description
You will coordinate and provide administrative support to the ITN-projects and play a role in the consolidation and reporting of research results. In your daily work, you will have contact with a wide range of researchers and project managers as well as contact to the EU project office.

A part of the job is to handle support management of larger projects with organization of meetings, minutes of meetings, distribution of consortium information, consolidation of reporting and management of homepages.

Collection and consolidation of progress reports from project partners, planning and organization of various projects is an important part of the activities. The reporting also extend to use of reporting systems, especially at the grant authorities web pages, but also within the DTU systems in cooperation with the internal systems and units (economy section).

You will be a key person in the project activities concerning:

  • Administration of EU grants in accordance with the general administrative rules. This also includes reading grant guidance independently to understand specific reporting requirements, budget controlling, interfacing with the DTU Economy section and HR department.
  • You will administrate the research staff associated. This includes ensuring timely reporting, and registration of costs and effort, submission of relevant reports, documentation and repository actions and other group activities.
  • You will coordinate calendar and meeting schedules of the Project managers as well as deal with travel reimbursements and other registrations, which is required for the financed projects.
  • You will also be involved in other administrative task at DTU Fotonik such as translations, updating homepages, and proactive administrative roles.

Your qualifications
To be a successful candidate, you are: 

  • Strong in written and spoken English as skills; as most communication and reporting will be in English
  • Native or fluent in written and spoken Danish
  • Administratively experienced with international projects
  • A team player and helpful where it is needed to ensure a well-functioning project administration
  • Well-structured in your work style and capable of managing several concurrent activities
  • Comfortable to work independently, however with focus on the common target
  • Able to understand complex guidelines and develop administrative systems and processes, that satisfy such regulations

Knowledge from administration on research projects in a university environment will be an advantage, but is not a formal requirement. You do not need to have a scientific background, but have to be able to coordinate scientific reports. The expected educational level is a master degree or equivalent.

Salary and appointment terms
The appointment will be based on the collective agreement with the Confederation of Professional Associations (AC). The allowance will be agreed upon with the relevant union. The job is 30 hours a week.
