Compensation Range

Job Summary

The Undergraduate Program Manager provides management, leadership and overall strategic planning and policy development and advice to the Mathematics department’s undergraduate program.  The UPM works closely and consults with the Undergraduate Chair and the department’s academic leadership. 

 

The UPM plays a leadership role in the design, delivery and evaluation of the department’s undergraduate program and service to undergraduate students, who majors in math, minors in math or take math courses (over 2000 undergraduate FTE – over 20000 course seats per academic year).  The UPM makes strategic recommendations on the establishment of policies, procedures and admission standards.

 

The UPM manages all aspects of the post baccalaureate degree program including recruiting, admissions, academic and student services, academic policies, graduation approval, disciplinary incidents, program scheduling, completely independent from other central program offices at UBC.

The incumbent typically works a standard day; however, flexibility is required as some responsibilities require an irregular schedule, including evening or weekends.

Organizational Status

Reports to the Director, Administration, Finance and Operations The UPM also works closely with Undergraduate Chair; and partners with Enrolment Services, Scheduling Services, Classroom Services, Science Advising, Faculty of Science, Faculty of Applied Science, Faculty of Arts and Sauder School of Business.

Work Performed

This position works closely with the Undergraduate Chairperson and provides leadership on the development and growth of the Mathematics undergraduate program.  In collaboration with the Undergraduate Chairperson, the UPM will develop new strategic initiatives to recruit and engage students into the program.

The UPM develops, designs and implements long range plans for the continued success of the Math Undergraduate Program. 

The UPM is responsible for development and implementation of new programs and initiatives related to student recruitment, marketing, services, determining content and alignment with long term goals. These programs may include, workshops, town halls, outreach programs (Imagine Day, Open House, Meet your Major) as well as various events (COMC-Canadian Open Math Challenge, Putnam, GVRD Science Fair Tours, etc.) Assesses the effectiveness of recruitment activities and makes strategic recommendations for improvement.

Develops and evaluates effective mechanisms and reports for evaluating student satisfaction with Math academic programs and related program services.  Focus will be on the development and growth of Math majors.The UPM develops and implements communication strategy to keep students current.

The UPM manages the operations and staff supporting the Undergraduate programs to ensure effective service to students and achievement of departmental and institutional objectives. 

Directly responsible for the full scope of managing work and employees and including hiring, supervision, performance management including appraisals, discipline and termination.

Identify when current University and Faculty policy or program guidelines do not address the underlying issues for students beyond individual exceptions.  Resolve the issues by developing and maintaining relationships or partnerships and facilitates communication with other departments, faculties and the Dean’s office to implement changes. 

Evaluate academic and non-academic policies, make recommendations for change, may include alternate policy and may include university wide buy-in and implementation.

Applies knowledge and understanding of complex admission, program requirements and policies in making appropriate responses, and offers advice based on individual assessment of each situation including attendance at other institutions prior to applying to UBC. 

The UPM has the autonomy to adjudicate student appeals and resolve complex cases at the department level. Exercises professional judgment in assessing circumstances that require special consideration.

Holistic evaluation of minor applications based on academic and non-academic factors and makes the decision regarding admissibility.

Adjudicate complex academic appeals and misconduct cases, provide appropriate advice, action and follow up.  Advise students about more involved career planning and provide referrals to other units and resources.  Encourage students to express difficulties and create a welcoming environment.  A wide latitude of decision making is required in this role. 

Oversees course section seat size, managing stakeholder needs and releases more sections as needed. Makes decisions on behalf of the Undergraduate Chair with considerable latitude.   

Identifies and recommends appropriate technologies for streamlining activities of the undergraduate program to optimize resource use and enhance student experience.  Participates in ongoing development of University student information systems and services.

Develops, implements and assesses an effective strategic marketing and recruitment plan for the program, that will result in the recruitment and retention of high caliber students locally, nationally and globally. 

Plans and ensures the smooth delivery of welcome, orientations and town halls events for prospective and current students.  Develops promotional strategy, including promotional materials and oversees the development and updating of the program website. 

Consequence of Error/Judgement

This position has critical decision-making responsibilities for the department’s undergraduate program.  The Math undergraduate program is busy, and courses are in high demand.  The position requires the ability to make decisions and manage student expectations.  The incumbent requires good judgment as errors in judgment could result in a negative impact to the reputation of the department and the University.

Supervision Received

Works independently with general direction from the Director, Administration, Finance and Operations as well as the Undergraduate Chairperson.  Work is reviewed in terms of achievement and effectiveness of the undergraduate program.

Directly responsible for the full scope of managing work and employees and including hiring, supervision, performance management including appraisals, discipline and termination Supervises Undergraduate/Calculus Coordinators.

Supervises the Student Outreach and Engagement Coordinator (M&P).


Minimum Qualifications


Undergraduate degree in a relevant discipline.  Minimum of three to four years of related experience, or an equivalent combination of education and experience. 


Preferred Qualifications

Undergraduate degree in a relevant discipline.  Post-secondary education and/or training in student services, student affairs, or a related field is an asset.  Minimum of three to four years of related experience or the equivalent combination of education and experience.  Experience required in service centred environment, preferably within student services.  Experience with interpreting, applying and advising on policies and procedures.  Sound and current knowledge on best practices in student services or comparable work experience.  Proficiency in standard office software required.  Experience in applying technology to improve student and/or client services an asset.  Ability to provide effective and appropriate guidance and counsel.  A skilled listener, with the ability to identify and respond to sensitive issues with empathy and diplomacy.  Must be resourceful and able to analyze problems, identify key information and issues and exercise initiative and creativity to develop effective solutions.  Ability to independently exercise superior judgment to make important decisions on matters of varying complexity.  Proven ability to use an inclusive approach to develop and cultivate relationships with students, faculty, staff and members of the external community.  Demonstrated accuracy and attention to detail, especially when working under pressure to meet deadlines.  Ability to provide leadership and supervise staff.  Demonstrated time management skills with the ability to effectively prioritize, multi-task and organize work.
