Your opportunity:

Reporting to the Associate Director, Undergraduate Academic Services, and under the supervision of the Undergraduate Program Coordinator, the Undergraduate Program Assistant provides support for the Undergraduate Program, including providing program related information and advice to students, supporting program administration, and coordinating program logistics.

NOTE: this is a term position to April 2025. 

Your responsibilities will include:

  • Determining logistical details and activities for events and/or programming
  • Coordinating the preparation and distribution of program and/or course material
  • Maintaining course information on student information systems
  • Disseminating information on procedures and practices
  • Providing detailed information to students on program and/or course requirements
  • Coordinating meeting schedules, agendas, materials, action and follow-up items
  • Advising staff on the interpretation of academic regulations and its impact to student records and assessment
  • Advising students on program and/or course requirements by probing and providing a range of options and possible consequences

Essential Qualifications:

  • Bachelor's Degree or equivalent combination of acceptable education and recent and relevant experience
  • Minimum two years of recent and relevant experience in providing administrative support in an academic environment for complex academic student related programs and providing information and advice to students and faculty members
  • Experience with interpreting and applying academic policies and procedures
  • Experience interacting and successfully communicating with students from diverse backgrounds
  • Experience updating, maintaining records and ensuring accuracy, including student records and marks
  • Experience with coordinating program logistics, including course/exam timetabling, maintaining calendars, coordinating rooms assignments, and preparing documents and correspondence
  • Experience providing information to students on admissions and related program processes, and reviewing related forms and documents
  • Demonstrated experience working with databases, preparing and analyzing statistical reports, and organizing and summarizing data
  • Experience coordinating enrollment, awards and mark/grade processes
  • Experience coordinating events with the ability to perform event set up and close off
  • Solid knowledge on academic policies and procedures including: general admission process, program/degree requirements, application process and the role of the registrar
  • Skilled in ROSI, ROSI Express, and Degree Explorer, or similar student information systems
  • Strong computer skills in MS office, database and content management systems, and group scheduling software
  • Strong organizational, time management and multi-tasking skills
  • Excellent verbal and written communication skills
  • Superior interpersonal and customer service skills
  • Ability to meet deadlines while working in an environment with frequent interruptions
  • Strong problem solving skills with sound judgement


Assets (Nonessential):

  • Knowledge of University of Toronto fee schedules
  • Knowledge of computer science program and courses

USW Pay Band 09 -- $65,407 with an annual step progression to a maximum of $83,646. Pay scale and job class assignment is subject to determination pursuant to the Job Evaluation/Pay Equity Maintenance Protocol.
