Your opportunity:

Under the general supervision of the Business Officer and direction of the Chair, the Undergraduate Coordinator provides administrative support for the daily operation of the undergraduate programs and the delivery of undergraduate courses in the Department of Historical and Cultural Studies. Duties include but are not limited to: coordinating the recruitment and contract administration of teaching assistants (TAs), course instructors, sessional lecturers and/or stipend instructors and invigilators, directing instructors, TAs and students to specialized services at UTSC, student advising; coordinating various financial and teaching support and resource requirements such as the communication of the registration process, policies and critical deadlines, TA hours’ allocation, mid-course evaluations of lecturers and instructors, and scheduling of exams. The incumbent will act as resource on CUPE Units 1 and 3 matters and will assist the Business Officer with monitoring the TA budget.

Your responsibilities will include:

  • Coordinating the recruitment of teaching assistants, course instructors, sessional lecturers and/or stipend instructors
  • Coordinating the recruitment and training processes for exam invigilators
  • Advisingstudents on program and/or course requirements by probing and providing a range of options and possible consequences
  • Providing detailed information on program and/or course eligibility requirements, procedures, policies and deadlines
  • Promoting programs at recruitment events
  • Determining logistical details and activities for events and/or programming
  • Keeping well-informed on changes to policies, procedures, collective agreements, and applicable legislated requirements
  • Responding to enquiries within the defined scope of the role and redirecting as appropriate

Essential Qualifications:

  • Bachelor's Degree or acceptable combination of equivalent experience.
  • Minimum three years of related and demonstrated experience in program administration in a post-secondary environment.
  • Demonstrated experience in student advising and interpreting and applying academic policies and procedures.
  • Knowledge and experience interpreting and administering collective agreements.
  • Experience using Student Information Systems.
  • Excellent (oral and written) communication skills and strong interpersonal and organizational skills. Highly customer service focused.
  • Proficient with Microsoft Office (Word, Excel, PowerPoint and Outlook).
  • Detail oriented with a high level of accuracy.
  • Exceptional attention to detail and ability to multi-task to ensure all work deliverables are timely, accurate, andcomplete.
  • Ability to work under time constraints and work load pressures while maintaining ability to exercise tact, good judgment, diplomacy and discretion when dealing with faculty, staff and students.
  • Ability to maintain confidentiality.

Assets (Nonessential):

  • Working knowledge of University of Toronto systems such as ROSI, Degree Explorer, Web Scheduler, Quercus, among others.
  • Experience administering the CUPE 3902, Unit 1 and Unit 3 collective agreements.

USW Pay Band 11 -- $73,748 with an annual step progression to a maximum of $94,310. Pay scale and job class assignment is subject to determination pursuant to the Job Evaluation/Pay Equity Maintenance Protocol.
