Schedule Description
DUTIES

The Supervisor, Academic Advising works closely with the Associate Registrar, Enrolment Services Admissions, to plan, deliver and assess effective academic advising services to students.  The Supervisor is responsible for the direct supervision of the Academic Advising team including the scheduling, assignment and checking of work.  Provides advice and direction to students with respect to education planning, academic goals, course selection and registration. Supports and provides advice to the University's strategic enrolment management and planning activities. Works closely with academic divisions, TRU World, Open Learning, and other Enrolment Services units, such the Future Students Office, Admissions, Records, Student Awards & Financial Support, and Student Systems, to provide accurate and timely service to prospective students, applicants, newly admitted and continuing students.  


MAJOR DUTIES AND RESPONSIBILITIES

  • Provides guidance and leadership to the Academic Advising team and displays forward thinking and planning abilities with regards to the continued improvement of service from Academic Advising.
  • Provides for the direct supervision of the Academic Advisors and Advising Assistants including participating on hiring committees and providing input into performance.
  • Provides for departmental planning and schedules, assigns and checks work and projects, monitors service levels.
  • Responsible for the training of new staff, monitoring progress and developing associated training materials.
  • Provides advice and support to the university's strategic enrolment management and planning activities.
  • Provides advice and support for developing enrolment-related processes such as registration and time-tabling for new and continuing domestic and international students.  
  • Identifies at risk students, either academically or personally, develops action plans, provides appropriate retention strategies and advocates on behalf of students as required.  
  • Establishes and maintains liaison and referral services with educational institutions, professional and community organizations, and other TRU departments including various faculties and TRU World.  
  • Develops education plans for students from culturally diverse backgrounds connecting academic standing to education or career goals, while assessing academic and work history, factoring in life, multicultural experience and financial resources. 
  • Responds to a variety of internal requests from faculty and administration for consultation regarding new programs, courses, and institutional policies.
  • Develops, promotes, and presents orientations and workshops, both in person and through web-based technology. 
  • Provides mandatory advising for students on academic probation with responsibility for final course approval. 
  • Researches, verifies, and applies detailed knowledge of educational programs, services, advising best practices, and transfer agreements established by TRU and other post-secondary institutions for incoming and transfer students. 
  • Participates on institutional committees. 
  • Travel off-campus to conduct individual advising in support of TRU recruitment and applicant conversion.

    QUALIFICATIONS

    EDUCATION

    • A Bachelor's degree from a recognized post-secondary institution 


    EXPERIENCE

    • Five (5) years' related work experience as an Academic Advisor within a post-secondary institution or related educational environment, including: 
      • Experience with supervising, training and coordinating staff
      • Experience in a highly student service-oriented environment

    • Ability to effectively supervise a team of staff and provide conflict resolution
    • Ability to address and resolve complex and stressful situations with diplomacy
    • Ability to plan, schedule, assign and check work for a department
    • Ability to effectively organize and coordinate staff training
    • Ability to manage one's own time effectively, balancing work that requires focused concentration with the need to attend to urgent matters that arise
    • Ability to perform electronic word processing and data entry in an enterprise relational database including knowledge of Banner and scheduling software
    • Ability to work well under pressure and deal courteously and tactfully with a variety of people, both verbally and in writing 
    • Ability to use policies and procedures to problem-solve day-to-day issues
    • Ability to operate basic office equipment such as printer, scanner, fax and photocopier
    • Ability to plan, organize and prioritize tasks and meet deadlines, maintaining accuracy and attention to detail
    • Ability to work independently as well as part of a team
    • Advanced knowledge of University policies and procedures relating to student service and records management
    • Ability to develop, modify, and produce reports
    • Hold current BC class 5 driver's license


    WORKING CONDITIONS

    • Set up of computer/audio visual equipment and tables and chairs at off-site locations (on an infrequent basis)

    The salary for the above position is determined by the Collective Agreement with the Canadian Union of Public Employees, Local 4879, as it presently exists.
    Pay Band
    $36.78 - $40.87 ( CUPE Grade 11 (90% - 100%) )
    Salary rate
    This Position is not subject to a 90% start rate for new Employees.
