CONTRIBUTING TO THE CMPA

Records Management, Library and Archives are service groups within the Privacy and Records Management Department at the CMPA. The Records and Information Management activity ensures the right business information is captured, controlled and disposed when meeting retention periods. Within the Library, we provide access to published materials, research services and educational outreach to improve organizational information literacy. In the Archives we collect, maintain and make available all corporate information with historical value and having a permanent retention.

POSITION OVERVIEW

The Summer Student, Records, Library & Archives works with the Manager, Privacy & Records Management in supporting routine annual records disposition processes, providing archival services and participating in various records, library and archives initiatives. This position is primarily onsite with occasional work from home opportunities.

The student will have the opportunity to contribute to the annual review of hardcopy files meeting retention, updating the inventory of offsite files, updating bibliographic information for the library, accessioning new materials to the Archive, updating digital media archives inventories and participating in a variety of projects enhancing the management of electronic information collections.

POSITION ACTIVITIES

Updating electronic inventories for quality control purposes
Accessioning newly received content in the Corporate Archives
Cataloguing and updating bibliographic records in the library
Processing article requests
Proof-reading, revision, and creation of documents
Sorting and arranging hardcopy files that have met retention
Performing other related duties as assigned by the Manager, Privacy & Records Management

EDUCATION AND EXPERIENCE

Completion of high school diploma and enrolled in a post-secondary school program
Studying in a field related to records management, library or archives is considered an asset

SKILLS AND ABILITIES

Excellent organizational skills and attention to detail
Computer literacy (Excel, databases, etc.)
Ability to handle repetitive tasks
Ability to work independently or in a team
Excellent English verbal and written communication skills
Ability to lift and move boxes weighing up to 30 pounds
The successful candidate will excel at; delivering quality work on time; being a positive team member; and picking up new software tools with ease.
This position is fully on-site.
