Duties and Responsibilities:

Reporting to the Manager, Student System Support, the Student System Support Coordinator
position is responsible for maintaining, testing, documenting, troubleshooting, and quickly
resolving Carleton360 related system issues. The incumbent develops solutions, tests the
functionality of the system and implements new processes to meet the mission, goals and
objectives of the stakeholder community. The Student System Support Coordinator role requires
knowledge of the student systems used to support students in their academic journey (includes
Banner and Carleton360). Responsibilities include:
• Knowledge on Carleton360(SITS) processes and procedures, including payment
reconciliation process and integration procedures with Banner.
• Documentation including test scripts, training documentation, technical documentation,
instructional documentation that will be used by various units across campus.
• Experience working with SITS system tools.
• Ability to analyze and respond to incoming inquiries in the [email protected] inbox.
• Knowledge of Banner – SITS integration and ability to scrutinize data tables in both systems
for troubleshooting purposes.
• Experience using JIRA board and task assignment within JIRA.
• Knowledge of the SITS build promotion process.
• Familiarity with SQL, HTS, CSS and JS.
• Ability to analyze and assign appropriate staff roles as requested by other units.
• Capacity to analyze and build reporting mechanisms using tasking tools and system
processes (i.e. SRLs/SLPs).
• Ability to develop appropriate reports for various departmental related needs.
• Knowledge of Admission’s procedures, policies and processes.
• Understanding of data points that trigger various student portal views in Carleton360.
• Assisting with upgrade testing and troubleshooting.
• Responsible for performing a variety of system duties with tight deadlines.
• Active participation in team meetings both internally and with stakeholders.
• Systems analysis.


Qualifications:

The incumbent must possess the following qualifications:
• Ability to work with minimum supervision.
• Strong organizational, communication and writing skills.
• Ability to adapt easily to the project team environment and ability to meet project deadlines.
• Experience with a CRM, Banner, Microsoft Office, Word, Excel, PowerPoint; Adobe Captivate, SnagIt, Teams and other software programs that would benefit the office.
• Excellent attention to detail.
• Exhibits diplomacy and tact.
• Strong analytical and problem solving skills.
• Strong interpersonal skills to establish working relationships with Subject Matter Experts (SME’s) across campus.
• SQL and java script experience.
• Technical writing skills an asset.


Education and Experience:

The above is normally acquired through the completion of:
• The completion of an undergraduate university degree or three year technical diploma or equivalent.
• Six months to two years of experience supporting a technical system is essential, including at least six months prior IT system support and technical and report writing experience with a Constituent Relationship Management (CRM) system.
• Previous experience working in a university environment and technical writing skills is an asset.

Important Note Regarding Pandemic Related Operations:

This position is required to work on campus. Exceptionally, since March 2020, many staff and faculty at Carleton University have been working from home in order to comply with public health requirements while continuing to provide services to support the operational functioning of the university. We are currently in the process of identifying positions that need to work on campus as part of our return to campus process. This position may be required to work temporarily remotely due to public health requirements or it may have been identified as one of the roles that are required to work on campus. If this position is required to work on campus, the successful candidate will be informed of the health and safety measures that are in place to ensure their safety on campus. If there is a requirement to work remotely (it is possible that there could be a requirement to work both remotely and on campus), the successful candidate will work with the manager to set up a remote work environment including discussing appropriate technology and requirements. Please note that once public health requirements permit, Carleton University will resume normal on campus operations and at that point there will be a timely notification provided by the manager and the requirement to working full time physically onsite will resume. Therefore, we are looking for candidates currently in or looking to relocate to the Ottawa area.

Additionally, Carleton University is continuing to maintain a safe work environment and requires mandatory vaccination against COVID-19 as per Public Health recommendations under the Reopening Ontario Act. As Carleton University requires that staff be available to attend on-campus meetings and to work, as required, in person, the successful candidate will be required to comply with this policy and be fully vaccinated before commencing employment.
