This is a casual position ending on or before March 31, 2022.  The hours may vary between 0-35 hours per week, shifts between Monday – Friday and hours between 08:30 am to 04:30 pm.

As a Student Services Assistant you will be the first point of contact for students and others at the Faculty of Nursing. The incumbent directs visitors to the appropriate person and/or location. The incumbent supports  the Undergraduate Student Services Area to provide information in response to inquiries related to the undergraduate programs, advising potential applicants and current students. The incumbent assists with the maintenance of student records using the Peoplesoft Registration System, and provides clerical support within the area and to the broader faculty as required.  The incumbent maintains the email inbox, telephone system, locker assignments and the resource library.

Duties

  • Greets visitors and responds to in-person, email and telephone inquiries;
  • Resolves issues or re-directs students and other visitors to appropriate Faculty and Support Staff members;
  • Screens and sets up appointments for the Student Advisor;
  • Advises students on program and admission requirements and consults with Admission and Student Advisors on status of application, outstanding documents and registration problems;
  • Liaises with other Student Services Assistant to ensure proper collection and maintenance of various documents;
  • Prepares letters and documents and email/mail to students as needed;
  • Assists students with registration and other activities as well as answers student program planning questions, transfer credit or other academic matters;
  • Fulfills and processes credentialing requests;
  • Attends Open House and recruitment events as required;
  • Provides relief coverage for other Student Services Assistants and Faculty Support personnel as required;
  • Sorts and files student documents;
  • Other duties as assigned.

Qualifications

  • High school diploma supplemented by administrative training; equivalent combinations of education and experience will be considered.
  • Preferably 2-5 years related experience.
  • Ability to prioritize, multi-task, problem solve and work independently as well as part of a team.
  • Excellent computer skills – MS Office, Internet, Google Mail; Knowledge of PeopleSoft is an asset.
  • Strong communication skills (oral, written and listening).

This position requires the incumbent to work on campus in the Edmonton Clinic Health Academy building.  As this is an on campus position the incumbent will be expected to adhere to the University of Alberta COVID-19 Vaccination Directive.
