This is a part-time position of up to 20 hours per week, and has a term of 1 year.

Site Administrator - Lynnwood Family Physicians Clinic

The department is seeking a capable and enthusiastic person with clinic experience to manage the on-site administration of our family medicine learners at the Lynnwood clinic in west Edmonton.

Course/Rotation Administration 

  • Maintain confidential and complete Medical learner files, including evaluations, learner forms, quarterly reports, references and correspondence; 
  • Coordinate rotation evaluations via web-based system and paper-based system and follow-up; 
  • Document appropriate procedures, instructions, and rules for knowledge sharing and create standards for operations; 
  • Process student documents for core and elective rotations. 

Scheduling 

  • Book rooms for academic day small group sessions; 
  • Coordinate the rotation scheduling of PGY2 Family Medicine (FM) Residents;
  • Creates and distributes all resident monthly schedules for block time residents; 
  • Schedule mandatory educational sessions for residents (e.g. rheumatology workshop, asthma workshop, cast clinics, NRP sessions). 

Evaluation 

  • Compile and organize data for quarterly reports required by the Postgraduate Medical Education office; 
  • Follow up on faculty advisor field note completion.

Other Duties 

  • Academic Half-Day: assign facilitators, send out information, assign resident groups for monthly sessions; 
  • Collect BEARS and PQI project documentation from residents;
  • Input resident information into database;
  • Submit call reporting; 
  • Answer Resident enquiries;
  • Organize site specific orientation; 
  • Collaborate with the other administrative positions within the Department of Family Medicine (DFM); 
  • Track resident attendance during block time and continuity clinics; 
  • Assist with site presentations at CaRMS when required; 
  • Answer resident and faculty advisor inquiries; 
  • Other duties as required.

Qualifications

  • Post-secondary degree or certificate in a related field is required, or equivalent experience
  • Experience in a family medicine clinic
  • Able to work independently
  • Have reliable transportation
  • Well organized, with a superior attention to detail
  • Technically literate, with experience using Google suite and MS Office applications
