This role is hybrid with a mix of remote and in-person at our North Edmonton campus.

Position Summary

The Research Coordinator provides administrative support to academic researchers in the Department of Psychology. This position also provides support to other financial, human resources, and research activities under the direction of the Academic Department Manager.

Duties

  • Assists research grant holders regarding policies and procedures pre-and post-award.
  • Serves as a resource and contact for faculty, graduate students, support staff, and outside funding agencies on all matters pertaining to research projects and programs.
  • Stays current on funding agency guidelines and advises grant holders of changes.
  • Stays current on UAPPOL policies and guidelines concerning research, trust-funded staffing, etc., and attends agency and RSO seminars and workshops.
  • Researches funding opportunities and assists faculty members in the application process, including budget construction, review of the budget, proofreading and editing, as appropriate.
  • Supervises financial processes and transactions for all restricted and endowed research projects and programs.
  • Provide assistance to grant holders post-award: HR matters including recruitment, payroll, leave reporting; oversight of financial progress (grant extensions, over expenditures, budget changes); reporting and audit matters.
  • Provide administrative support to academic journals, as needed.
  • Maintain records of department commitments on research projects.
  • In collaboration with the event organizers, provides significant support to conference and event administration including creating/managing accounts, preparing fund transfers, reconciling expenses, booking research travel for visitors, etc.
  • Provides support to any applicable committees within departments.
  • Maintains appropriate records management and compliance for research and financial documentation.
  • With the EA/AA, addresses routine issues related to visiting scholars, postdoctoral fellows, and others (e.g., completing immigration requests, letters of invitation, assigning CCIDs, and space allocations).
  • Assists with travel arrangements for visitors, processing honorariums and expense payments for events and guests, as needed.
  • Provides support around research labs, in consultation with lab owner/staff/technicians and Academic Department Manager.
  • Prepares trust-related HR forms and contracts including for awards; assists when needed with operating budget hires.
  • Processes trust-related invoice payments; prepares petty cash requisitions as needed
  • Advises staff and faculty members on account statuses, and provides reporting.
  • Assists with tracking and processing of various department financial activities; assists with audit responses.
  • With the Academic Department Manager, monitors endowment spending and compliance.
  • As applicable, provides support to specific programs and committees (e.g. Writer in Residence program). This may include assisting with position recruitment, preparing draft grant proposals, communicating deadlines, coordinating visits, attending committee meetings, etc.
  • Maintain a productive relationship with the Research Services Office and a knowledge of the University policies and procedures.
  • May provide occasional backup to the EA/AA. Other duties as required.

Minimum Qualifications

• Diploma in office or business administration.
• 3 years of progressive experience in a University setting with a research administration/finance/human resources focus.
• High proficiency in Microsoft and Google suites.
• Knowledge of FOIPP and records retention practices.
• Excellent communication and interpersonal skills are required.

Preferred Qualifications

• Knowledge of University of Alberta policies and procedures is an asset.
• Experience with PeopleSoft an asset.
