This position has a term length of seven months from the date of hire, with the possibility of extension.  Internal secondments are encouraged.

The Faculty of Engineering is looking for a Recruitment Assistant to join the Student and Co-op Education Services Team. This position will be in person on campus starting August 11, 2021.

Cooperative education in engineering incorporates paid, supervised work experience components to the undergraduate engineering degree program.  Our recruitments help students gain valuable, real-world experience through full-time employment in positions related to their field of study.  Under the direction of the Administrative Assistant, (Engineering Co-op), the Recruitment Assistant will provide administrative support for the recruitment activities in the Engineering Co-op Department.  As well, the successful candidate will be the first point of contact for all inquiries and visitors to the Faculty of Engineering Student and Co-op Education Services Office.

Duties

  • Provides frontline reception duties for students, staff, employers and visitors; in person, by telephone and electronically.
  • Administer the queue management software, answer general student questions, issue calculator stickers.
  • Responsible for timely and accurate data entry in order to meet posted deadlines.
  • Enters job postings and sends resume packages to employers.
  • Generates interview schedules which includes: inviting students to signup, informing them about type of interview (such as: phone, various virtual platforms or in person) and location; monitoring student sign ups and sending schedules to employers and Co-op contacts when they are complete, making any changes to schedules throughout the process, preparing interview packets for the employers arrival.
  • Assists with the formal in-house Recruitment with such responsibilities as:  greeting employers, working with Co-op Coordinators students and employers to ensure interviews proceed as planned, overseeing that students are in correct rooms, locating students if they are delayed for an interview, forwarding phone interviews to designated rooms. Troubleshooting interviews that are set up virtually.
  • Records time sensitive and confidential ranking information.
  • Maintains online Recruitment Calendar.
  • Updates student information in database.
  • Manages Engineering Co-op inbox.
  • Creates forms and specialized reports in database.
  • Oversees the maintenance of student files.
  • Provides clerical support for the Administrative Assistant.
  • As a member of a team, provides backup coverage for Student Services and the Engineering Employment Centre.
  • Checks supply inventory.

Qualifications

  • Completion of High School Diploma, supplemented by post-secondary courses in Business Administration
  • Minimum 1-3 years in an office environment, preferably post-secondary environment
  • Exceptional customer service skills
  • Demonstrated attention to detail with high levels of accuracy
  • Strong technical abilities in database administration
  • Excellent interpersonal, organizational, and time management skills
  • Effective problem-solving abilities
  • Ability to work independently and in a team environment
  • Strong verbal and written communications skills
  • Proficiency with Microsoft Office Suite and Google platforms
  • Understanding of University of Alberta policies and procedures is an asset.
