Duties and Responsibilities:

Reporting to the Assistant Director, Operations, and providing direct support to both Assistant Directors, as well as the Director of the READ (Research, Education, Accessibility and Design) Initiative, the READ Administrator works with minimum supervision and is responsible for a
varied range of duties related to the administration of all activities of the READ Initiative including but not limited to support for the campus-wide Coordinated Accessibility Strategy, the National Office for the Canadian Accessibility Network which operates out of the READ Initiative, as well as various long-term research projects requiring operational, financial and logistics support.

This requires accuracy in general administration and communications matters, accountability in financial administration, in particular for operating and grant funds, precision in completing special projects, and the ability to maintain and support the decorum and confidentiality necessary in a Director’s Office. The position requires maturity, discretion, tact, and good judgment in dealing with a variety of requests and visits from various stakeholders including university management, and senior officials from the public and private sectors. Attention to detail and responsible timely performance are imperative.


The incumbent must possess the following qualifications:
• Strong written skills with the ability to compose correspondence.
• Must prepare a variety of reports using table and charts, s/he must keep up to date knowledge of a wide range of computer programs such as Microsoft Excel, Microsoft Access, Microsoft Word, Power Point and preferably the Carleton systems, BANNER and FAST accounting.
• Must have in-depth experience in related research accounting procedures as well as general accounting principals.
• Ability to manage the day-to-day activities of the office to ensure that services are carried out to both internal and external stakeholders in a manner that will enhance the University’s reputation.
• Have effective organizational and supervisory skills, and a clear understanding of administrative and office procedures, as well as the related research financial management systems.
• Strong interpersonal and problem-solving skills are essential to deal with day-to-day activities, as is good judgment, initiative, resourcefulness, and tact.
• Discretion must be exercised when dealing with confidential materials and information.
• Ability to work under pressure and to communicate effectively (verbally and in writing).
• Experience in a customer service related position and working in an environment that supports people with disabilities is preferred.

Education and Experience:

The above is normally acquired through the completion of:
• Completion of three years post-secondary education in Business Administration/Management or related discipline.
• Five years of progressively responsible related experience in the area of research budget management and departmental administrative support, preferably in a university or college or related research setting with increasing responsibility.

Important Note Regarding Pandemic Related Operations:

This position is required to work on campus. Exceptionally, since March 2020, many staff and faculty at Carleton University have been working from home in order to comply with public health requirements while continuing to provide services to support the operational functioning of the university. We are currently in the process of identifying positions that need to work on campus as part of our return to campus process. This position may be required to work temporarily remotely due to public health requirements or it may have been identified as one of the roles that are required to work on campus. If this position is required to work on campus, the successful candidate will be informed of the health and safety measures that are in place to ensure their safety on campus. If there is a requirement to work remotely (it is possible that there could be a requirement to work both remotely and on campus), the successful candidate will work with the manager to set up a remote work environment including discussing appropriate technology and requirements. Please note that once public health requirements permit, Carleton University will resume normal on campus operations and at that point there will be a timely notification provided by the manager and the requirement to working full time physically onsite will resume. Therefore, we are looking for candidates currently in or looking to relocate to the Ottawa area.

Additionally, Carleton University is continuing to maintain a safe work environment and requires mandatory vaccination against COVID-19 as per Public Health recommendations under the Reopening Ontario Act. As Carleton University requires that staff be available to attend on-campus meetings and to work, as required, in person, the successful candidate will be required to comply with this policy and be fully vaccinated before commencing employment.
