Duties and Responsibilities:

Reporting to the Assistant Manager, Property Services, the Property Management Coordinator is responsible for the professional property management, leasing obligations, facility operations, and administration of a portfolio of buildings at Carleton University.

The incumbent is accountable for the coordination of all related resource and contracts to ensure Carleton’s property is effectively and efficiently run according to established standards and within established budgets.

In combination with the Assistant Manager, Property Services the incumbent handles tenant complaints, service requests, and preventative maintenance and assists in the preparation of reporting, and capital renewal of the properties.


Qualifications:

The incumbent must possess the following qualifications:
• The incumbent works in an environment in which multi-tasking is required.
• Excellent organizational skills and the ability to set priorities are essential skills, as well as demonstrated resourcefulness, decision-making ability, and flexibility and must have the ability to work quickly and accurately under pressure.
• The incumbent must be able to prioritize tasks, meet deadlines to meet changing needs, and take initiative without supervision.
• Analytical and problem solving skills are required to identify issues and support an appropriate course of action.
• Excellent interpersonal and communication skills to provide excellent liaison services.
• Leadership skills and the ability to participate as an effective team member are essential in the timely and successful completion of projects.


Education and Experience:

The above is normally acquired through the completion of:
• Three year College diploma or equivalent training (e.g. CPM, RPA, FMA) in related field
• Three year’s of experience providing relevant Commercial Real Estate Property Management or Facilities management of a large facility.

Assets:
• Building Management and Maintenance courses
• Project Management experience

Health and Safety Requirements

This position is regularly required to work on campus in person. In the event of a public health emergency or a health and safety issue, it is possible that you may be required to work temporarily remotely due to public health orders, directives and/or health and safety requirements. If this happens, you will work with your direct manager to set up a remote work environment including discussing appropriate technology and requirements. You are required to follow all University policies and directives, including to set up a safe and confidential workspace in a remote location and ensure all Carleton property (intellectual and other) is safeguarded. If required to work remotely, you will be notified by your manager when working full time physically onsite will resume.
