Position

The Faculty of Engineering has developed a bold and multi-faceted Strategic Plan to address the key challenges facing the faculty in growing and improving teaching, research, and service activities. To execute this Strategic Plan, the faculty is developing a dedicated initiatives team that will support the entire project life cycle.

Reporting to the Senior Consultant, Projects & Initiatives, the Project Coordinator is a key part of the Strategic Initiatives Group responsible for the successful planning, execution, monitoring, control, and operationalization of various infrastructure, programming, and operational projects performed while working closely with various stakeholders. They will work collaboratively with a small team of full-time Strategic Initiatives & Projects Managers and will form the core of every project team created.

Duties

Project Support

  • Act as the primary project support role for all projects in the portfolio
  • First point of support for the Senior Consultant, Projects & Initiatives (PM) as well as the Project Sponsor for project related activities
  • Works with subject matter experts (SME) on the project team to deliver on project goals and milestones
  • Support the development of the project charter, assist in the preparation of budgets and estimates for projects
  • Support the PM in assigning, monitoring, and reviewing work performed by the project team
  • Responsible for updating and managing the project schedules & team workloads
  • Using their knowledge and judgement, routinely analyzes risks and opportunities and communicates those to the PM
  • Act as the primary backup for the PM of the project as needed, including chairing project team meetings
  • Perform primary and secondary research for the project including environmental scans, competitor/peer reviews, web searching, literature reviews, and product reviews as required for the project

Document/Data Management

  • Develops, manages, and maintains a diverse range of documents, reports, and sheets as needed for the particular project
  • Acts as an expert user and manager of the Project Management software platform
  • Produces design drawings, diagrams, flow charts, organizational charts, process maps, etc as required
  • Maintains all records of meetings and action items
  • Maintains all records of any legal documents or paperwork required
  • Performs basic data analysis and interpretation including data preparation, cleaning, interpretation and production of useful tabular or graphical outputs

Problem Solver

  • Identifies problems & bottlenecks in the project process
  • Work with PM and Project Sponsor to suggest solutions to identified problems
  • Assists in the implementation of selected solutions to resolve problems and bottlenecks

Communicator & Meeting Manager

  • Plans & organizes team meetings
  • Liaises with Project Sponsor and stakeholders
  • Development of communication drafts and stakeholder engagement material and other project collateral designed for external engagement

Resource Management

  • Develops specifications & design objectives
  • Supports competitive procurement process when appropriate
  • Supports procurement including obtaining quotes, submitting orders, and managing supplies and suppliers
  • Tracks budgets, spending & resources and reports to the PM as required

Minimum Qualifications

  • 2+ years of experience delivering projects
  • Knowledge of entire project life cycle
  • Diploma or degree in a science, engineering, or related field
  • Strong knowledge of documentation, spreadsheet and presentation tools including MS Suite (docx, xlsx. pptx) and G Suite (docs, sheets, slides)
  • Experience with project management software (e.g. Asana, Monday.com, Clickup, etc)
  • Ability to develop and prepare process maps, charts, and schedules
  • Demonstrated ability to communicate effectively
  • Demonstrated ability to support and contribute to multiple projects and initiatives at once
  • Strong data management skills including data review, cleaning, and preparation of visual output in tabular or graphical format
  • Strong independence of action and ability to proactively take initiative
  • Skilled team player with the ability to work with and support a diverse array of personalities and working styles

Preferred Qualifications

  • Project Management Professional (PMP) certification is a strong asset
  • CET, EIT, or PEng certification is a strong asset
  • Knowledge of the academic environment
  • Experience with agile development methodologies
  • Ability to develop and maintain code (C#, Python, R, etc)
  • Advanced ability to process and manage data
  • Familiarity with risk management and quality assurance processes is an asset
