The Program Coordinator (PC) will be responsible for managing the activities and reporting requirements for two major research programs led by Dr. Petr Musilek: the NSERC Alliance-APIC project and the Huawei- ECE Research Initiative. The PC will act as a liaison between the lead investigators, co-investigators, and the funding partners. The PC will also provide support for grant-related research activities for the Electrical and Computer Engineering department.

The Alliance-APIC project is titled ‘Towards future interconnected electric system’ and is composed of a number of themes and sub-projects led by the lead principal investigator (PI), Dr. Musilek, and 15 co- investigators, and involving close to 60 trainees (graduate students, undergraduate students and postdoctoral fellows). The project has a duration of 5 years with annual reporting requirements to the NSERC funding agency and Alberta Power Industry Consortium (APIC) industry funding partners.

The ‘Huawei-ECE Research Initiative’ is a multi-year research program, administratively led by Dr. Petr Musilek, on the research themes of Computer vision, Distributed systems, and AI Software Stack. This initiative involves 9 co-investigators and 45 trainees. The research direction of the initiative is co-ordinated with U of A / Huawei Joint Innovation Collaboration (UAHJIC) to promote collaboration and avoid duplication of research activities.

Duties


  • The PC is responsible for establishing and managing an efficient administrative support system for the Alliance-APIC project and will act as a professional advisor to the lead investigator on all aspects of the project’s activities.
  • Liaise with APIC board members and APIC technical professionals participating in project activities.
  • Work closely with the University Research Services Office (RSO) to ensure efficient financial operation and reporting of the research sub-projects.
  • Work closely with the theme leads and the Faculty of Engineering (FoE) financial administration (using the existing online accounting tools) to ensure that that project spending is done in a timely fashion, within the budget and according to the UAPPOL and NSERC policies.
  • Assist in advertising and hiring trainees (MSc and Ph.D. student, undergraduate students, postdoctoral fellows) in collaboration with the theme leads and the FoE HR office to ensure the trainees are hired according to the policies and in accordance with the NSERC and University of Alberta’s EDI best-practices.
  • Interface with individuals, organizations, and institutions identified by the supervisor for the purpose of partnering on specific aspects of the research project
  • Plan, coordinate and execute events like the annual Hackathon, Forum, and workshops with industrial partners.

Research Coordination for the Huawei-ECE Research Initiative

  • The PC will assist the ECE department in setting up this initiative and drafting key guidelines in collaboration with Huawei and with advice from the University of Alberta’s Advancement Office (Corporate and Foundation Relations unit).
  • Assist in setting up the Huawei-ECE funded projects by working with the RSO and FoE financial administration.
  • Work with the project leads and co-leads to identify and setup appropriate milestones for the project.
  • Assist in advertising and hiring trainees (MSc and Ph.D. student, undergraduate students, postdoctoral fellows) in collaboration with the theme leads and the FoE HR office to ensure the trainees are hired according to the policies and in accordance with the NSERC and University of Alberta’s EDI best-practices.
  • Monitor project progress and ensure that that project spending is done in a timely fashion, within the budget and according to the UAPPOL and additional initiative-specific guidelines.
  • Liaise with representatives from Huawei to provide project updates and seek input.
  • Set up regular meetings between involved stakeholders to share program progress and plan next steps.

Support for departmental research activities

  • The PC will provide authoritative information regarding the opportunities, the deadlines, and the administrative processes required for proposal submission.
  • Manage an internal scholarly review and mentorship process aimed at improving the quality and competitiveness of proposals to the NSERC Discovery Grants program.
  • Collect statistics on success rates of applications to various programs, and place these in context with those of other departments and universities.
  • Manage the ECE department’s LinkedIn page.

Qualifications

  • Minimum an undergraduate degree in a STEM discipline, postgraduate degree preferred.
  • At least 3 years prior experience in a role requiring the management of multiple tasks and priorities, delivery of presentations and communiques.
  • Experience managing projects or certification in project management an asset.
  • Experience drafting and managing budgets and writing reports for projects involving multiple stakeholders (university/government/industry) preferred.
  • Ability to work independently with effective time management skills.
  • A strong working knowledge of the energy industry in Alberta would be an asset.
  • Knowledge of the university research environment and UAPPOL policies would be an asset.
  • Ability to work collaboratively with diverse individuals, and to exercise tact, discretion, and good judgement in providing guidance and feedback.
  • Moderate to high level computer skills (e.g. MS Word, Excel, Powerpoint, Excel, Adobe Acrobat, Google Suite, Zoom, etc.). Experience with Peoplesoft Finance Researcher Home Page and eTRAC would be an asset.
  • Effective written and verbal communication skills required.
