The Opportunity
Reporting to the Manager of Operations, School for Advanced Digital Technology, the Administrative Assistant is a professional who strives for excellence while working collaboratively. The position provides concierge support for students, faculty, and guests as the main receptionist for the school, while engaging with the entire support and leadership team to meet the needs of the academic programs. 
This position requires a high level of professionalism, strong communication skills (verbal/non-verbal, language/interpersonal skills), organization and attention to detail, computer information literacy, records information management, data integrity auditing and a keen focus on providing excellent, serviced-focused interactions with students. They must be a self-starter and ownership of the required workflow to ensure timelines are met and processes are followed. Knowledge and experience with post-secondary education processes and IT and/or Media is preferred.
The Role
    • Front-Line Support (20%)
    • Reception including welcoming visitors and students, answering telephone calls, and responding to email inquiries.
    • Communicate general information pertaining to SAIT’s programs, services, policies and procedures in an accurate and timely manner

    • Program Support (40%)
    • Order and distribute course materials, books, labs. 
    • Assist with program events, i.e. orientation, capstone presentations, industry visits, information sessions.
    • Generate reports and complete basic data analysis
    • Act a primary contact for School’s facilitation of course/student/industry/School surveys
    • Assist with instructor load entering and validation
    • Organize and coordinate program meetings, including minutes
    • Responsible for maintain advisory committee documentation

    • Overall School Support (25%)
    • Assist with School and SAIT events with a focus on building community through engagement
    • Order supplies and ensure inventory stocking
    • Distribute mail and organize courier services as needed
    • Assist with travel and PD arrangements as requested, including ensuring appropriate SAIT expense/PD/Pcard processes are followed
    • Maintain and follow the school’s data management and processes
    • Identify, provide recommendations, and implement improvements, efficiencies, and automations of office procedures within the department
    • Contribute to the effective operation of the school by performing cover-off duties as requested

    • Support SADT’s Health, Safety and Environment program, CORE Audit requirements, & the H&S Committee (15%)
    • Responsible for maintaining School’s HSE documentation
    • Proactively follow up on action items and HSE requirements
    • Organize and coordinate committee meetings, including minutes

Qualifications & Experience
    • Minimum Required:
    • Diploma or higher 
    • Two to four years of experience in an administrative support role

    • Preferred:
    • Post-secondary, government, IT, or media experience, would be an asset

    • Skills Required:
    • Excellent communication and interpersonal skills both written and verbal
    • Organization and time management
    • Experience with 0365, specifically SharePoint, Power Automate, Project/Planner, Teams or equivalent software
    • Previous experience using Banner and Argos considered an asset
    • Experience working within a distributed/hybrid team setting
