Your opportunity:
The Institute for Management & Innovation (IMI) is the center for professional management education at the University of Toronto Mississauga (UTM) and has a strong administrative team supporting our six professional graduate programs.
Reporting to the Director, Operations & Finance and working closely with Program Directors at IMI, the Program Assistant supports program initiatives, responds to student inquiries, assists with graduate recruitment, admissions, examinations, and various events . The incumbent also supports faculty by liaising and coordinating program and course materials, and classroom needs.
Your responsibilities will include:
- Responding to routine admissions and awards enquiries and referring complex enquiries as appropriate.
- Promoting programs at recruitment events.
- Coordinating interview schedules.
- Checking completeness of admissions documentation.
- Determining logistical details and activities for events and/or programming.
- Liaising with internal and external contacts to coordinate execution of seminars and workshops.
- Coordinating the preparation and distribution of program and/or course material.
- Coordinating the recruitment of teaching assistants, course instructors, sessional lecturers and/or stipend instructors.
Essential Qualifications:
- Bachelor's Degree or acceptable combination of equivalent experience.
- Minimum two years of related experience providing administrative support to University Faculty, students, and staff.
- Demonstrated knowledge of University academic policies and procedures.
- Experience advising prospective students.
- Excellent computer skills in PC and Mac, including in-depth knowledge and experience with Word, Excel, Power Point and a web content management system.
- Demonstrated experience using ACORN/ROSI, Quercus, SLATE, or comparable student information system.
- Strong written and verbal communication skills.
- Excellent front-line and customer service skills.
- Excellent organizational skills.
- Ability to manage competing deadlines.
Assets (Nonessential):
- Knowledge of graduate policies from the School of Graduate Studies and related guidelines.
- Knowledge of key graduate functions including admissions, registration, timetabling and enrollment.
- Knowledge and administration of various collective agreements.
