Position Summary:
Supports implementing and maintaining the student-related activities within the Division Surgical and Interventional Sciences.
Primary Responsibilities:

· Support the daily operations of the Division of Surgical and Interventional Sciences (SIS);

· Oversees and supports the daily administrative and student affairs functions of the unit – 2 Administrative and Student Affairs Coordinators, Program Director and Academic staff;

· Supervise operations of administrative staff and ensure quality control within the Division through training;

· Contribute to the implementation of administrative policies, procedures and processes as required;

· Assist in the administration of student affairs activities such as but not limited to nomination for awards, notify students with calls for applications, work with committees to determine awardees, draft letters of support (reviewed and edited by the Program Director);

· Support and oversee SIS related events/meetings as required. Contribute to the planning and/or organization of meetings, workshops and other events including provision of logistical support, preparation of materials, minute taking and coordination of follow-up items;

· Receive expense reports, prepare reimbursement documents and disburse money;

· Report to the committee on the tendencies of enrolment with respect to the priorities from the Faculty;

· Provide information to students on a variety of student affairs issues in accordance with established policies and procedures of McGill University and the Division;

· Compile statistics and data for inclusion in University and external reports;

· Contribute to the development, strengthening and maintenance of networks of internal and externalstakeholders; and Respond to day-to-day queries and requests;

· Contribute to the development and implementation of communications and knowledge translation strategies, plans and products; Research, write, edit and proof-read communication products such as communication plans, news releases, backgrounders, speeches, presentations, newsletters, and e-blasts;

· Update and maintain website;

· Assist in the administration of research expenses;

· Implement and process template agreements or other forms to improve efficiency;
Other Qualifying Skills and/or Abilities

  • College diploma (DEC);

  • A minimum of 3 years’ related experience;

  • Work experience in clinical research would be an asset;

  • Experience with common CV, ResearchNet, and funding agencies (such as CIHR and/or FRSQ) would be a strong asset;

  • Excellent command of English and French, both spoken and written;

  • Computer literate (knowledge and working skills with Outlook, Word, Excel, and PowerPoint. Experience with databases, Endnote and web applications  would be a strong asset);

  • High level of attention to details;

  • Ability to prioritize and to multitask;

  • Demonstrated ability to work independently as well as within a team;

  • Ability to exercise tact, discretion, and confidentiality.


Minimum Education and Experience:


Bachelor's Degree 1 Year Related Experience with Bachelor’s Degree / DEC III 3 Years Related Experience with DEC III


Annual Salary:


(MPEX Grade 03) $59,870.00 - $70,440.00 - $81,010.00
