Procurement Services is responsible to manage, administer and coordinate supplier purchases and agreements relating to goods, services, furniture, equipment, capital construction and renovations for all university faculties, departments and research initiatives. Payables & Expense Management is responsible for the accurate and timely capture of the University's non-payroll expenditures and employee expense reimbursement. Both departments support the procure to payment cycle within Finance.

Reporting to the Manager, Procurement Services, this position will provide skilled support to both the Procurement and Accounts Payable group with day to day operations and project focused work. The Procure to Pay (P2P) Administrator must be detail oriented with above average organizational skills to multitask and meet deadlines.

This is a full-time replacement term position working 35 hours per week and ending September 30, 2024.


Responsibilities
  • Address incoming purchase requests and provide guidance to user departments
  • Review requisitions and issue purchase orders
  • Review and approve/reject Amazon for business restricted item requests
  • Reconciling purchase orders
  • Point of contact for invoices unmatched to purchase orders – investigation required with user depts
  • Cleaning up and maintaining shared drives for Procurement and Payables
  • Organizing updating and maintaining a template database for Procurement and Payables
  • Entering and maintaining contracts in the contract management system
  • Assist with creating requisition training manuals for user departments
  • Deliver training to user departments on requisition creation.
  • Confirm signing authority and coding
  • Enter PDF purchase requisitions into Banner
  • Update contract management smartsheet for
    • Request for Contracted Services
    • General Services Agreements
    • Vendor Agreements
  • Executive Expense Disclosure
  • Self-Assessed GST
  • Maintain the Procurement and Payables intranet/internet pages, links and forms

Qualifications
  • Two-Year Diploma from a University or equivalent
  • 3 - 5 years of previous office and financial experience
    • Previous experience in a Post-Secondary or Public Institution would be an asset
    • ERP/Banner experience would be an asset
    • High proficiency in MS Office including contract management software (CMS) would be an asset
  • Able to communicate, understand, express and apply technical, business or administrative concepts
  • Must be able to maintain confidentiality, and exhibit superior decision and problem-solving skills
  • Superior organizational and time-management skills and ability to meet deadlines
  • Proven ability to multi-task and efficiently respond to changing priorities

Salary:                 $27.35 - $34.62 per hour (Subject to retroactive increase based on Gain Sharing Conditions as per the Government of Alberta)
