Reporting to the Team Lead, Resident Education in Postgraduate Medical Education (PGME), the incumbent will play a significant role in coordinating the transition of residency programs to a competency-based education model. The PGME CBD Coordinator is responsible for project management and administrative support activities for CBD including collaboration in executing change management; creating and maintaining a database of assessment tools & templates; participating in research and preparing statistical and qualitative reports and/or presentations for the PGME Office; facilitating meetings and coordinating special events such as program faculty development workshops and assessment and evaluation retreats. The Coordinator will interact with FoMD Program Directors, faculty, and administrative staff.

In addition, the PGME CBD Coordinator will provide support to the Director, Competency-Based Medical Education (CBME) and Associate Director, Competency-Based Medical Education (CBME).

Duties:

Project Management (50%)

  • Supports CBD implementation timelines and reports progress to the Team Lead, Resident Education and Director, CBME
  • Participates in strategy planning and ensures the effective execution of plans in order to meet objectives. Provides input into strategic management and any research projects associated with CBME.
  • Supports CBME Oversite Committee, Working Groups, Faculty Development, Implementation Meetings, Debrief Meetings, Change Management, CBD Coordinator Subcommittee and CBME Resident Subcommittee
  • Develops and compiles extensive data of all materials associated with the transition to the Competence-Based Education model
  • Develops/maintains Google site/web pages for CBD materials
  • Acts as a resource person, liaison and communicator for requests or information from the Royal College, program directors, program administrators, CBD Coordinators, and residents
  • Organizes faculty development workshops, retreats, focus groups, and consultations
  • Participates in initial competency-based discussions with each specialty/subspecialty residency training program
  • Facilitates meetings with administrative staff and program directors to help plan implementation of milestones and Entrustable Professional Acts (EPA’s) in accordance with the RCPSC rollout dates
  • Assists with and provides expertise in establishing and maintaining processes for each residency program’s competency committee
  • Supports quality improvement and research initiatives; collects qualitative and quantitative data as well as enters and processes data
  • Coordinate and Chair the CBD Coordinator/Program Administrators’ and CBD meetings
  • Creates and maintains new pages on the PGME website for CBD and updates information as required

Administrative Support to the Director, Competency Based Medical Education (CBME) (30%)

  • Coordinates the Director’s calendar for CBME related meetings, conference calls, etc.
  •  Arranges meetings and workshops with program directors and faculty educators o prepares and distributes agenda and meeting materials o records and distributes minutes for meetings
  • Participates in the preparation of articles, PowerPoint presentations and posters for the Director.

Administrative Support to the Associate Director, Competency Based Medical Education (CBME) (10%)

  • Coordinates the Associate Director’s calendar for CBME related meetings, conference calls, etc.
  • Arranges meetings and workshops with program directors and faculty educators o prepares and distributes agenda and meeting materials o records and distributes minutes for meetings
  • Participates in the preparation of articles, PowerPoint presentations and posters for the Director.

Other Administrative Responsibilities (10%)

  • Provides office back-up for other members of the Education team
  • Provides back-up for One45 Web Evaluation System, o includes training, troubleshooting problems and granting permissions as required
  • Develops and maintains Administrator Manual
  • Participates in Professional Development conferences/seminars/workshops
  • Attends meetings with the Program Administrators
  • ·         Must have good working knowledge of the policies, procedures and guidelines and ongoing projects to be able to provide information and answer questions from Program Directors, Administrators, academic staff and residents.

Qualifications

  • Minimum High School Diploma; Undergraduate Degree preferred: equivalent combinations of education and experience will be considered
  • 1-2 years of experience in project coordination required
  • 1-2 year of experience in medical education required
  • Minimum 5 years administrative experience
  • Advanced computer skills and a high degree of proficiency with Microsoft Office, Google Apps, and various database platforms
  • Excellent interpersonal skills, with the ability to interact and work with a variety of diverse individuals and organizations
  • Exceptional written and oral communication skills, with the ability to review, edit and compose reports. Should be able to converse with and influence/motivate program administrators. Adept at tailoring messages to key audiences and managing a high volume of communication from multiple parties
  • Strong organizational and planning skills, with the proven ability to prioritize and manage multiple and diverse tasks, under minimal supervision
  • Ability to take initiative and exercise sound judgment
  • Ability to deal with a complex work environment
  • Experience presenting to large and small groups
