Founded in 1910 and located in Calgary, Alberta, Canada, Mount Royal University grew into a vibrant college in the 1930s and became a mid-sized university in 2009. Mount Royal University’s Aviation diploma program has been in operation since 1970. The two-year program operates ten aircraft at Springbank Airport along with three simulators. Students graduate with a Commercial Pilot Licence and Multi-IFR in addition to a Diploma in Aviation. The new Bachelor of Aviation Management will begin in Fall 2024. 

This position is at the Springbank campus within the flight operations of the airport, and the majority of the work is done at Springbank with minimal requirement to work at the main campus. The employee will provide coordination support to the aviation program in general, and to three areas specifically. These include Aviation Program Operations, Aircraft Maintenance Administrative Duties, and Scheduling. This position is at the center of all these functions and the individual in this role will assist with work that is done by various individuals/departments, providing support as needed. 

The work schedule will require some weekends. There is some flexibility with a start time of 7 a.m. or 7:30 a.m. Days off will be weekdays, preferably Tuesday and Wednesday but may be flexible. 

Two days a week will focus on Scheduling when the full-time Scheduler is on days off.  Management of the schedule is on-going, as changes in the schedule occur daily due to maintenance, weather, and student progress. This constant change requires adaptability and flexibility in planning and ongoing revisions. The Operations Coordinator is responsible for record keeping with respect to scheduling. Communication with administrative and maintenance staff is required to ensure accurate information flow to keep up to date with relevant scheduling information. As the aviation program expands this position may continue to develop and evolve.


Responsibilities

Aviation Program Operations

  • First point of contact for students, staff, and public inquiries. Providing program information as required.
  • Coordinate with Building maintenance to address building concerns at the hangar. Including communication with MRU facilities to coordinate arrival times and communication with the team regarding delays or any ‘in progress’ items.
  • Review aircraft hours remaining and ensure it fits with the scheduling plan before the airplane goes to maintenance.
  • Make changes to the schedule based on maintenance needs, coordinating with the Scheduler and Maintenance to create solutions.
  • Review entries in FlightLogger and aircraft journey logs to ensure they are correct.
  • Ensure students have paid for appropriate courses, are correctly registered, and flight hours are tracked accurately.
  • Managing Private Pilot Licence applications, queries, and student setup.
  • Collaborate with the Chair, Chief Flight Instructor, instructors, staff and the Faculty Financial Officer and to support class scheduling, expense submissions and other administrative functions.
  • Manage compiling minutes and agendas for meetings.
  • Reply to Aviation emails and calls.
  • Track inventory and order supplies.


Administrative Duties Specific to Aircraft Maintenance

  • Provide daily updating of flight records in WinAir Computerized Maintenance tracking system. This involves inputting maintenance completed and updating technical records and journey books.
  • Review maintenance manuals to ensure they are up to date and correct.
  • Print task cards and purchase orders for any unscheduled/scheduled maintenance required for contract Aviation Maintenance Organization.
  • Review Winair Computerized maintenance tracking system and prepare future forecasts. Plan for next and schedule for scheduled maintenance.
  • Ensure MRU aircraft are not dispatched unless all required maintenance releases have been completed; the aircraft is properly certified, and appropriately equipped, configured and maintained for its intended use.
  • Review of the applicable logs and previous inspection reports and “For Information Only” sheets for evidence of recurring defects at each scheduled inspection.
  • Coordinate regular professional development and training of flight instructors in the conduct of elementary maintenance, MCM training, and other required training, ensuring that the applicable certification is appropriately recorded and filed.
  • Coordinate payment of maintenance invoices.


Scheduling Duties

  • Collect and process student availability for flight and simulator training.
  • Plan and organize student flight and simulator training sessions taking into consideration student training requirements, aircraft, instructor and simulator availability, aircraft and simulator “unserviceabilities”, weather conditions and general time frames. (Periods of poor weather, for example, imply greater simulator usage or the rescheduling of flights).
  • Monitor that all scheduled flight missions are completed. Investigate and reschedule any missed missions.
  • Monitor and confirm that all FLTR courses are completed to meet graduation requirements
  • Reply to Scheduling emails.
  • Update Scheduling manual.
  • Additional responsibilities include advising students on academic course registrations and schedule, and providing event support for program related activities

Qualifications
  • Two year diploma from a University or equivalent required
  • Minimum 2 years of experience in scheduling and administrative duties is required
  • Experience in aviation would be an asset
  • Proficient in use of computers, Microsoft, and Google Drive
  • Knowledgeable and adheres to applicable safety systems, policies, statements and processes
  • Able to work in a busy environment, with multiple competing priorities and timelines
  • Effective communicator
  • Adaptable; able to manage constant changes

Salary:                                $55,982 - $70,841 per annum
