The Manufacturing, Fabrication and Maintenance department within the School of Skilled Trades is currently recruiting for a full-time permanent administrative support position to support the Department Head with operational activities. The Operations Administrative Assistant carries out a variety of responsibilities to ensure smooth operation of the department as follows:  

 

Key Responsibilities:

  • Assists the Department Head with operational activities in the areas of finance, scheduling, human resources, contracts, IWAS, timesheets, payroll, attendance management.   
  • Support, mentors, and trains staff within and among program administration teams. 
  • Onboards and supports new staff members (orientation, key requisitions, office space, etc.).  
  • Coordinates meetings including agendas, itineraries, meeting notices and related materials, calendar invites and response, records/distributes minutes; manages Academic Operations Manager calendars.  
  • Researches and prepares various forms of information.  
  • Prepares reports and organizes and tracks information.   
  • Supports all programs, staff and students at Souch campus
  • Supports facility operations relate to the satellite campus

 

Skills & Abilities:

  • In-depth knowledge of NAIT-wide policies, guidelines, and procedures that impact the departments.  
  • Knowledge of NAIT budget-related processes  
  • Knowledge of PeopleSoft Student Administration and Finance  
  • Proficient with MS Office Suite (Excel, Word, PowerPoint, Access, Teams)  
  • Excellent interpersonal and communication skills  
  • Strong organizational and time management skills  

 

Qualifications:

  • Completion of grade 12. 
  • Related post-secondary certificate or diploma.   
  • Minimum of three years related experience.  
  • Equivalencies may be considered.  

 

Applicants with education credentials earned outside of Canada should have their credentials evaluated by World Education Services or the International Qualifications Assessment Service (IQAS).

 

Remuneration: $47,257.04 - $62,451.48 annually, plus a comprehensive benefits package. (Classification - Administrative Support V) 

This position is covered by the Alberta Union of Provincial Employees (AUPE) Collective Agreement.
