Working for the Department/Faculty

Facilities and Operations is a diverse portfolio responsible for a range of essential services and work across our five campuses. From managing capital construction and renovations, providing utilities and energy management, to delivering student and campus services, Facilities and Operations works behind the scenes to make the university a great place to study, learn, and work.

Trades, Infrastructure and Maintenance (TIM), wherein this position resides, is located within the Asset Management and Operations unit. TIM is responsible for the safe and efficient delivery of maintenance services that support the building infrastructure system operations through the use of trade workers and leaders.

Position

The Operational Supply Services Storekeeper is responsible for providing accurate, LEAN, holistic, and timely inventory management services for Trades Infrastructure & Maintenance (TIM). They are responsible for the oversight of $1M on hand inventory and the management of $25M of inventory activity annually. This position provides as needed, holiday, and sick time coverage as required for the following positions:

  • Operational Supply Services Signage and Support
  • Operational Supply Services Logistics and Support

The Operational Supply Services Storekeeper reports directly to the Operational Supply Services Lead and is a member of the Operational Excellence Quality Management team. They have no direct reports but it is a highly collaborative role with all TIM team members. It requires a strong skill set in the leadership elements identified below:

Duties

Activity 1 - Inventory Ordering and Planning (50%)

  • Prepares ordering by creating, consolidating, entering and posting on computer system;
  • Prepares purchase requisitions, system release forms and standing orders;
  • Contacts suppliers as required with regards to availability of stock delivery date and price;
  • Reviews contracts and quotations to pick companies who supply with correct products
  • Prepares purchase requisition after quotes, stock and pricing check on special orders;
  • Expedites supplier deliveries as needed;
  • Uses of computer system to change description and product numbers to meet suppliers and manufacturers correct ordering numbers to reduce discrepancies;
  • Participates with investigation of material needs with TIM leaders;
  • Plans with TIM leaders to stage material inventory purchases in conjunction with future equipment shutdowns and regular scheduled maintenance requirements. 

Activity 2 - TIM operational Shipping and Receiving (25%)

  • Unloads incoming deliveries;
  • Receives incoming stock; verify quantity and quality of materials;
  • Catalogues and distributes WHMIS information, MTR’s, and MSDS’s as applicable;
  • Enters stock receive into the CMMS with updated price and appropriate back up justification;
  • Allocates stock to proper bin or rack location;
  • Assists with loading outgoing deliveries;
  • Provides over-the counter services to F&O stakeholders and TIM trades groups;
  • Enters customer orders into the CMMS system;
  • Prepares orders for pick up or delivery with required paper work;
  • Resolves quality control issues with regards to product, service and delivery;
  • Pulls backorders and processes invoices with received stock. 

Activity 3 - Inventory Control (25%)

  • Counts inventory as planned by the Operational Excellence Manager;
  • Reconciles inventory discrepancies;
  • Removes stock numbers of obsolescence inventory as well as adding new stock numbers/barcodes;
  • Disposes of stock, surplus, and material recovery.

Minimum Qualifications

  • High school diploma
  • Parts Person Certification or equivalent (1-2 year certificate)
  • Good working knowledge of computers, Microsoft Word Excel and Outlook. Will be required to become proficient with new University AIM Accounting Inventory computer tools
  • WHMIS, safe work training involving use of power tools such as a band saw
  • Certification in the use of warehouse forklift (can be provided on site)
  • Valid driver license

Preferred Qualifications

  • Would require a minimum of 2 years experience in an order desk/parts warehouse environment to understand basic principles and procedures. A further 1 year would be needed in Trades Stores to become competent in this role
  • Experience in managing and overseeing/evaluating supply contracts would be beneficial. Training could be provided with an expectation of competency within 1-2 years
  • Knowledge of metal and alloys, MSDS sheets, MTR’s WHMIS, etc.
