Job Description Summary

Alumni UBC is a leader in alumni engagement in North America and this role plays an integral part for the operations of our unit as well as the stewardship and usage of alumni data.  The Officer, Alumni Data and Strategic Initiatives , coordinates and integrates data and operational efforts in support of the overall alumni engagement program.

The Officer, Alumni Data and Strategic Initiatives works closely with the Associate Director, Alumni Data and Strategic Initiatives to provide value added analysis delivering decision-ready information to support a complex alumni engagement strategy for UBC.  The incumbent will ensure alumni staff have the appropriate training required for their work, which includes providing training sessions and developing training content. The incumbent deepens, maintains and supports the DAE data analytics program to promote data driven decision making within alumni UBC and the Development and Alumni Engagement portfolio as a whole. The incumbent will work with the Data Analytics team to transform data into meaningful insights regarding alumni behavior, trends and operational effectiveness. The incumbent will have a natural curiosity to want to dig deeper and find out what the data tells us about our alumni, their activity and how it can shape engagement strategy for a large, decentralized team.  Duties range from complex to routine data extraction, uploads, data segmentation, benchmarking, survey creation, administration and analysis, data input, output and more. 

Organizational Status

Reports to the Associate Director, Alumni Data and Strategic Initiatives. Works closely with the Coordinator, Alumni Engagement on the Alumni Data team, as well as the DAE Services teams in IT, Data Governance and Business Intelligence, Research and Finance.

Work Performed

  • Oversees administrative and operational functions within alumni UBC, including: data submissions, data processing, querying, overall workflow and information flow, access management, and engagement reporting.

  • Develops and implements comprehensive administrative policies, procedures and systems that have a broad impact across the division as well as being responsible for supporting alumni engagement strategies through data insights by managing complex relationships with multi-unit partners.

  • Frontline resource for Links database (Blackbaud Enterprise CRM) for UBC Alumni Engagement Points model.

  • Use statistical analysis to evaluate progress towards strategic targets.

  • Develop and design methodologies and standards to produce regular statistical reports.

  • Recommends, develops and implements process improvements to ensure the timely and accurate transfer of alumni engagement information into the campus-wide database (Blackbaud Enterprise CRM).

  • Develops training and orientation programs for alumni staff. 

  • Produces completed survey reports, analyzing the data and pulling out highlights for Leadership team’s attention.

  • Recommends and delivers appropriate metrics and benchmarking statistics for annual operations.

  • Acts as the data steward for engagement data and provides data quality assessment on Engagement data sets to determine accuracy and suitability of data.

  • Consult with various stakeholders to recommend, create and implement consistent guidelines for data extracts to be used for event invitations, mailings and other communication.

  • Act as Links subject matter expert and technical support resource and work with DAE IT as a liaison for technical and data-related requests.

  • Recommends and monitors Alumni UBC needs and priorities for Links upgrades and programming work to be carried out by DAE IT.

  • Responsible for communicating with alumni UBC and related units regarding the Engagement Points system changes that impact the functionality of systems or reporting within other units.

  • Designs, implements, and oversees data-related support work the Alumni Data team provides to Faculty-based alumni engagement units.

  • Perform other related duties as required.

The incumbent is responsible for providing accurate, potentially sensitive and confidential information to other members of the team. Must respect confidentiality of information handled.

Failure to exercise appropriate judgement could put the department in violation of privacy laws, increase direct costs, contribute to lost opportunities, damage the reputation of the university, and potentially negatively impact relationships and philanthropic support.

Supervision Received

Reports to Associate Director, Alumni Data and Strategic Initiatives. The incumbent works under general direction according to broad objectives. Works independently with discretion relation to policy administration and interpretation and administrative responsibility.

Supervision Given

May supervise work-learn students or volunteers. Works closely with the Coordinator, Alumni Engagement.

Minimum Qualifications

Undergraduate degree in a relevant discipline. Minimum of three years of experience in a post-secondary education institute experience working with alumni relations & advancement or the equivalent combination of education and experience desired. Willingness to respect diverse perspectives, including perspectives in conflict with one’s own. Demonstrates a commitment to enhancing one’s own awareness, knowledge, and skills related to equity, diversity, and inclusion.

Preferred Qualifications

Experience working with databases. Experience in alumni relations, development, communications, advertising, and/or marketing. The ability to work as part of an integrated team. High skill level with MS Office applications, particularly Excel. Technical documentation skills. Demonstrated understanding of data management techniques. Knowledge of Tableau an asset. Strong strategic thinking and analytical skills. Superior written and oral communications. Proactive, with demonstrated initiative and creative problem-solving skills. Strong interpersonal skills, facilitation and collaboration skills. Understanding of privacy, copyright and data security best practices.
