The Opportunity
The Southern Alberta Institute of Technology (SAIT) is located in the traditional territories of the Niitsitapi (Blackfoot) and the people of Treaty 7 which includes the Siksika, the Piikani, the Kainai, the Tsuut’ina, and the Iyarhe Nakoda of Bearspaw, Chiniki and Goodstoney. We are situated on land where the Bow River meets the Elbow River, and the traditional Stoney Nakoda name of this place is “Wîchîspa” which we now call the City of Calgary. The City of Calgary is also home to the Métis Nation.
Reporting to the Manager of Indigenous Student Supports, the successful candidate will assist in the coordination of daily operations and provide administrative support to staff in Natoysopoyiis - Indigenous Student Supports Centre. The successful candidate will be expected to work collaboratively with colleagues and support student-centered programming. The employee will be expected to demonstrate excellent skills in communication, organization, time management, professionalism and digital literacy.

This refers to whether a person has ancestry associated with the Indigenous peoples of Canada, that is, First Nations, Métis, and/or Inuit. Aboriginal peoples (referred to here as Indigenous peoples) of Canada are defined in the Constitution Act, 1982, Section 35 (2) as including the First Nation, Inuit and Métis peoples of Canada. The term 'Aboriginal' has been replaced with the updated term of 'Indigenous' when referring to individuals who identify themselves as First Nations people, Métis and/or Inuit.
The Role
    • Office Maintenance - 30%
    • Daily reception includes welcoming visitors and students, answering telephone calls, and responding to email inquiries.
    • Monitor, maintain, order and stock supplies.
    • Assist with the setup and take down of events and programming.
    • Assist with business operations of department for staff and students (i.e., ensure keys, access cards, business cards, computer accounts, computer hardware, phones, photocopier and office space are set up and maintained.)

    • General Administration - 70%
    • Arrange meetings, create, and distribute agenda and minutes to attendees, record and type meeting minutes, book rooms and order catering, coordinate parking passes, set up and support virtual meetings as needed.
    • Provide administrative support for data collection and assessment (i.e., survey distribution, applications, recording notes, Argos reports).
    • Provide support on processing financial transactions (e.g., create invoices, complete cheque requisitions, vendor setup, expense reports and submitting payments through Banner).
    • Maintain bookkeeping of expenses for multiple accounts.
    • File quotes, invoices, payments, student data, surveys, and other pertinent information electronically and/or physically.
    • Research costs, request quotes, book reservations, and create schedules for student engagement activities.
    • Complete invoices and payments for all transportation, accommodations, events, and activities.
    • Create and distribute a semi-monthly Indigenous student newsletter
    • Enter data into records for future funding, historical retrieval, and continuous improvement.
    • Provide support before, during and after departmental events and activities such as Orientation, Graduation, S.T.A.R. Series, etc.
    • Support staff with tasks as needed.
    • Book transportation, activities, and accommodation for Elders, knowledge keepers, staff and students.
    • Maintain social media profiles for department (Facebook, LinkedIn, etc.)

Qualifications & Experience
    • Minimum Office Professional Certificate
    • Minimum Knowledge of MS Office Suite and Adobe
    • Minimum 2 years administrative experience. An equivalent combination of education and experience may be considered
    • Diploma in Administrative Information Management, Business or Education preferred
    • Banner ERP experience is an asset
    • Experience working with Canva & Social Media is an asset
    • Previous experience in a post-secondary work environment is an asset
    • Working with Indigenous Peoples and knowledge of Treaty 7 protocols and culture is an asset
    • Microsoft Office Specialist (MOS) Certification is preferred
