This is a casual position with an end date of 6 months from the date of hire. 

The Inventory & Receiving Clerk reports directly to the Procurement and Inventory Team Lead. The incumbent is responsible for the management of the lifecycle of IST owned equipment located within the department, centrally scheduled rooms and labs in various locations on campus; this includes ensuring data maintained in the IST inventory and the Peoplesoft equipment module is accurate and complete. The incumbent is also responsible for the procurement function for stock inventory and other equipment as required. Knowledge of University Policies and Procedures is required to ensure all acquisitions are compliant. Strong computer skills are important to ensure effective use of systems (e.g. Peoplesoft Financials, SupplyNet) and tools (e.g. excel, G-suite) used in the asset tracking and procurement process at the university. 

Duties

The Inventory and Receiving Clerk will be responsible for the following areas:

Receiving/Shipping/Asset Tagging

  • Responsible for recording and checking the quantity and quality of goods received
  • Inspects shipments for damages or defects; record discrepancies or damages
  • Communicates and coordinates with procurement and supplier for product returns and processing replacements
  • Verifies packages according to the order and invoices
  • Determines what goods require an asset tag and then complete asset tagging process
  • Labels the deliveries and arranges for the items to be delivered as per the requisition
  • Maintains safe work environment adhering to university policies and procedures

Stock Inventory

  • Maintains accurate records and updates the inventory database in a timely manner
  • Investigates and resolves situations where items received are not properly documented

Surplus of Equipment 

  • Receives equipment for surplus from IST Team(s)
  • Maintains supplies inventory by checking stock to determine inventory level and anticipating needed supplies
  • Operates pallet jack in loading and unloading of supplies and equipment
  • Ensures that stockroom is clean and organized

Process

  • Analyzes workflow and identifies areas of improvement
  • Recommends solutions for more efficient processes to the supervisor
  • Implements new processes as approved by the supervisor
  • Assists in documenting processes and procedures

Qualifications

  • High school diploma, preferably supplemented by post-secondary courses
  • Experience using eProcurement solutions (e.g SupplyNet) considered an asset
  • Experience as receiving clerk
  • Experience using pallet jack preferred
  • Computer proficiency particularly with office productivity tools such as MS Office and/or G-suite
  • Demonstrated ability to review current processes, identify and improve efficiency
  • Communicates clearly and effectively
  • Keen eye for detail, proactive and willing to take initiative
  • Basic math and record management skills
  • Demonstrated ability to follow process and directions

COVID-19 Vaccination: Proof of full vaccination against COVID-19 in compliance with the University’s COVID-19 Vaccination Directive. Fully Vaccinated means a status an individual achieves 14 days after having received the recommended number of doses of a COVID-19 vaccine approved by Health Canada or the World Health Organization, and requires the individual to maintain the recommended number and type of vaccine doses as updated and required by Health Canada thereafter.
