The Opportunity
Reporting to the Team Lead, Administrative Operations, the Information Management Specialist gathers, reviews and reports information/data related to international students to support student recruitment and student success activities.  Working within a team-oriented environment, this individual assists in increasing the number of international students.  This position requires a high degree of self-direction, the ability to set priorities and be responsive to any changing needs of the International Centre.  Excellent organizational, accuracy and attention to detail skills are required, as are computer skills, verbal, written and interpersonal communication skills and cultural sensitivity.
 
This is a demanding position and the incumbent will be expected to take initiative and work independently, with little direction, and with a high degree of professionalism, confidentiality, accuracy, and sound judgment.
The Role
    • Maximizer Administrator for the Centre - International Student database (45%)
    • Set up / modify User accounts, including setting up permissions and Security groups
    • Creation of new user-defined fields and / or updating current fields (system and user defined) to support new department activities.  Also includes setting up / updating the appropriate the Key Fields area(s) with the new fields.
    • For each academic year set up all the fields that are specifically related to a year.  This involves creating all the individual semester fields within each of the 4 academic programs semesters and the 6 ELF sessions, the tuition fees fields and the IELTS prep-course fields.  In addition, new Key Field areas must be created for the new academic year (Academic Programs, ELF and Commissions).
    • Entering the tuition fee/credit for all open semesters to ensure that revenues are calculated.
    • Auditing the system on a regular basis for irregularities / inconsistencies / errors.  Auditing the use of all the fields to ensure that each one has a purpose and data is not just being collected for no use.  Make suggestions for areas of improvement.
    • Administrator has the ability to generate reports on other users’ activities within maximizer (i.e. pull a list of the notes entered by a person).
    • Point of contact for IC staff with issues - works with the appropriate sources (SAIT or external) to solve the issue.
    • Point of contact within IC for any Maximizer issues from SAIT or Maximizer.  (i.e. upgrades to the system software is done by Maximizer, the new system has to be vetted / testing by the Administrator before it goes live).
    • Will be the key person for working with Maximizer to have any customization work created and implemented within the system.

    • Information Management (45%)
    • Gather and maintain up to date information/data for the International Centre Maximizer CRM system to ensure current and accurate information related to agented international students.  This includes but is not limited to data on application information, number of students, countries/cities of origin, students per school/ program, student progression through programs and graduation.  
    • Manage and maintain survey data related to study permits, support services, and program demand to support student experience
    • Generate detailed and visually compelling reports encompassing enrollment trends, risk analysis, support survey results, ad-hoc insights, student forecasts, fiscal forecasts and program demand to facilitate data-driven discussions and initiatives
    • Review information on International Student applications to identify areas of concern and make recommendations to the IC Director on areas for improvement to support increased student enrollment.
    • Tailor reports to meet the specific needs of different stakeholders, ensuring clear and concise communication of findings and recommendations.
    • Answer and process requests from International Centre team pertinent to assigned responsibilities.
    • Applications status updates – this includes but is not limited to compiling data for the bi-weekly team meeting and should be looking for issues / trends while entering the information
    • Provide reports for meetings and presentations, engaging with stakeholders to promote discussions and efforts driven by data insights.
    • Harness the capabilities of diverse platforms including Argos, Banner, Tableau, Maximizer, Logiforms, Excel, and IQ Connect to execute various data-related tasks effectively.
    • Be aware and follow SAIT worker Safety responsibilities as outlines in SAIT Safety Manual.

    • Engagement (10%)
    • In addition to maintaining data for the International Centre, the Information Management Specialist is responsible for assisting with International Centre events and activities that enhance the international student experience.
    • Leadership may assign duties, responsibilities and projects as required.

Qualifications
    • Education: 
    • Degree or 2 year Diploma in a related field such as Business, Database Administrator, Information Management or a combination of education and experience will be considered.
    • Training or Experience: 
    • At least 2 years working with relational databases and CRM’s.
    • At least 2 years working in a cross cultural environment preferably in post-secondary.
    • Licenses/Certificates 
    • Certificates related to training on various CRM’s or relational databases would be an asset.
    • Any other special requirements to do the job
    • Ability to work the occasional evening and weekend when requested in accordance with the AUPE Overtime Policy.

Salary Range: $66,595.36 - $75,393.40
