RESEARCH INSTITUTE OF THE MUHC
The Research Institute of the McGill University Health Centre (RI-MUHC) is a world-renowned biomedical and hospital research centre. Located in Montreal, Quebec, the Institute is the research arm of the McGill University Health Centre (MUHC) affiliated with the Faculty of Medicine at McGill University. The RI-MUHC is supported in part by the Fonds de recherche du Québec - Santé (FRQS).

Position summary
Within the Human Resources and Environmental Health & Safety Division, the HR Procedures Specialist will be responsible for all aspects pertaining to Bill 90 (Loi sur les compétences) compliance and will act as an advisor towards the RI-MUHC Community. The incumbent will also be responsible for bilingual HR communication strategies.

The incumbent supervises reception operations on both RI-MUHC administrative sites, which includes employee supervision as well as budget oversight.

The HR Procedures Specialist will also execute certain administrative tasks, such as budget oversight and reconciliation, they will act as secretary on a committee reporting to the Board of Directors and they will take part in the RI-MUHC Social Committee.

The incumbent will collaborate with the HR team on various HR projects, continuous improvement initiatives, policies and procedures and community outreach initiatives.

General Duties
• Acts as an advisor to the RI-MUHC Community for matters related to Bill 90.
• Pulls training reports from payroll system and performs procedures and audits related to training declaration.
• Sits on the RI-MUHC Training Committee.
• Oversees HR content on the RI-MUHC Portal, in internal communications and on the RI-MUHC website and social media.
• Elaborates and updates HR information and tools on the RI-MUHC Portal.
• Writes, translates and reviews texts and documents varying in nature, such as administrative documents, social media content, or RI-MUHC Portal or website content.
• Acts as advisor to the HR Team on matters related to inclusive writing.
• Participates in the development and establishment of different projects and initiatives of the Human Resources Division.
• Supervises operations related to reception on administrative sites (2155 Guy and Glen Site), supervises employees (2) on each site.
• Manages the reception operational budget, makes decisions based on budget availability and approves invoices.
• Takes part in the RI-MUHC Social Committee. Plans social activities for the RI-MUHC community while respecting established budget.
• Acts as secretary to the HR-EDI Committee reporting to the RI-MUHC Board of Directors. Takes minutes and participates in the documentation creation. The incumbent may be asked to act as secretary for other Committee meetings.
• Monitors the human resources budget and performs reconciliation. Analyzes budget and identifies areas of concern. Participates in annual budget planning and budget forecast exercises.
• Performs other duties and projects as assigned by Director.

Education / Experience

• Undergraduate university degree in a pertinent field,
• Five (5) years of pertinent experience with similar responsibilities,
• Knowledge of Bill 90 (Loi sur les compétences) an asset,
• Excellent French and English, spoken and written,
• Excellent translation and revision skills,
• Excellent communication, advisory and interpersonal skills,
• Ability to collaborate and build partnerships with a strong client focus,
• Exercises judgement in handling strategic and confidential information,
• Ability to work independently or with a team with minimum supervision in a constantly evolving environment,
• Shows creativity in creating content and ability to innovate,
• Organized, accurate, thorough, and ability to monitor work for quality,
• Self-motivated, solution-oriented and resourceful,
• Proficiency of MS Word, Excel, PowerPoint, Outlook, Teams and Adobe Pro,
• Excellent knowledge of digital tools: Zoom, Teams, Survey Monkey, Microsoft Forms.


Additional information

Status : Full time, maternity leave replacement (1 year)
Pay Scale: Commensurate with education and experience
(min: $46 168.67 /max: $85 747.12)
Work Shift: 35-hour workweek, Monday to Friday, with the possibility of a flexible schedule
Work Site: Hybrid model: 2 days on-site (2155 Guy) and 3 days telework
