Job Summary

The Human Research Ethics   Assistant supports the University of Victoria Human Research Ethics Board review and certification system to ensure federal regulatory requirements and university policies for research involving humans and human biological materials are met.  The Human Research Ethics unit in the Office of Research Services falls under the direction of the Associate Vice-President Research Operations.

This position reports to the Human Research Ethics Liaison and will support the Human Research ethics unit as it transitions from a paper-based/manual system to an online/electronic system.  This transition will include a period when dual systems and processes are used simultaneously until full transition to the electronic system is complete (approximately 10-12 months).

Specific responsibilities include: i) processing high volumes of applications, ethical reviews and certifications; ii) communicating with faculty, students and staff about their applications, responding to queries about research ethics procedures and policies; iii) updating and monitoring information tracking and archival systems; iv) providing administrative support to the Human Research Ethics staff and Board members; v) participating in the Human Research Ethics Advisory Committee; vi) liaising with other BC research ethics board offices to support the review of provincial level applications on electronic platforms and paper systems external to UVic and; vii) may provide general office coverage to the other units within the Office of Research Services.


Job Requirements

Skills:

  • Excellent office administration and organizational skills with keen attention to procedural and document details.
  • Strong time management skills with demonstrated ability to work efficiently and self-monitor multiple work priorities.
  • Demonstrated ability to work under pressure, and prioritize a large and diverse workload (approximately 1000 applications per year plus ongoing inquiries) to accomplish multiple workflow procedures during high volume times.
  • Demonstrated team-oriented skills with strong interpersonal communication skills and ability to work as an effective member of and take direction within a small service-oriented team with ability to work independently.
  • Demonstrated ability to operate in an environment with tight timelines to support team members and stakeholders to ensure timelines are met consistently.
  • Strong written and oral communication skills with proven ability to effectively explain policy, process and procedures that impact the unit and the university as well as troubleshoot and assist new users in an online environment.
  • Proven ability to manage multiple electronic and hard copy information systems including data bases.  
  • Strong analytical and pro-active problem-solving skills to identify problems and seek information from appropriate sources to find solution.
  • Proven ability to complete work under frequent interruptions.   
  • Ability to exercise sound judgment and use discretion when dealing with confidential verbal and written communications that impact individuals and the university.
  • Proven client/customer-oriented skills particularly where users may be unfamiliar with electronic systems and processes.
  • Advanced keyboarding skills with a minimum typing speed of 50 w.p.m.


Specialized Knowledge/Education:

  • High school graduation.
  • A two-year post-secondary certificate in Office Administration is highly desirable.
  • Thorough knowledge of best practices and methods of office procedures including records management and retention.
  • Extensive knowledge of Microsoft Office including but not limited to ACCESS, Excel, Outlook and SharePoint.
  • Working knowledge of the use of office equipment (Printers/copiers, fax machines, scanners).
  • Knowledge of the national research ethics guidelines regulating the research ethics (TCPS2 tutorial) or knowledge of research procedures, or Canadian regulatory and policy requirements for conducting research that involves humans and human biological specimens is desirable.


Experience:

  • Minimum of 2 years of office/administrative experience preferably in a post-secondary context.
  • Use and maintenance of tracking systems and records management (both hard copy and electronic) in order to retrieve and upload documents and materials.
  • Experience discerning and conveying policy and procedural information to a wide variety of users.
  • Customer/user support in an online environment is highly desirable.
  • Previous experience working in a research environment would be considered an asset.
