The Department of Mathematics is consistently ranked as one of the best in Canada. Working under the direction of the Associate Chair, Graduate and the Graduate Administrator in consultation with the Research Stream Faculty, you will be responsible to provide administrative and program support for graduate students and Faculty members in the Department of Mathematics by responding to inquiries related to the graduate program and assisting with graduate admissions, student funding, examinations and graduate student events. You will also handle expenses for events, record or verify transactions on a single account, order supplies with approval, update and maintain records and serve as a resource to others by providing (non- supervisory) job-related guidance.

Your responsibilities will include:

  • Contributes to execution of events and professional development programming
  • Providing support to graduate students for the scheduling of their final thesis defences
  • Scheduling the yearly comprehensive exam
  • Maintaining graduate student records
  • Troubleshooting timetabling and/or room booking conflicts
  •  Keeping well-informed on University programs, policies and procedures when disseminating program and/or service information
  • Responding to inquiries within the defined scope of the role and redirecting as appropriate
  • Liaising with students and faculty to determine logistical details and activities for events and/or programming, and coordinating meetings, agendas, materials and follow up items
  • Formatting and duplicating exams including exams with mathematical notations using LaTeX

Essential Qualifications:

  • Advanced College Diploma (3 years) or acceptable combination of equivalent experience.
  • Minimum two (2) years of related experience providing administrative support to University Faculty, graduate students and staff
  • Demonstrated experience maintaining information on digital platforms
  • Demonstrated experience typesetting comprehensive exams using LaTeX and experience typesetting mathematical notations
  • Demonstrated knowledge of the University with emphasis on the School of Graduate Studies academic policies and procedures
  • working knowledge of a wide variety of software, including MS Office, MS Excel, MS Word, ACORN/ROSI, Quercus, LaTeX and CrowdMark
  • Strong written and verbal communication skills with experience editing content brochures, newsletters, websites and/or handbooks
  • Excellent time management, prioritization and organizational skills, with the ability to be an effective team player
  • Ability to communicate effectively with a diverse group of clients
  • Demonstrated knowledge of graduate student funding and student awards/fellowships
  • Demonstrated ability to learn quickly

Assets (Nonessential):
•    Experience working with recruiters and organizing job fairs
•    University level Calculus and Linear Algebra

USW Pay Band 08 -- $61,600 with an annual step progression to a maximum of $78,775. Pay scale and job class assignment is subject to determination pursuant to the Job Evaluation/Pay Equity Maintenance Protocol.
