Department summary

GlycoNet is a world-leading network of glycomics researchers, trainees, government laboratories, and industry partners with the common goal of addressing key challenges in human health and creating novel approaches for preventing and treating disease. GlycoNet’s Administrative Centre is located on the University of Alberta campus and is responsible for the daily operations of GlycoNet.

Position summary

Reporting to the GlycoNet CEO and working very closely under the guidance of the Lead Administrative Assistant, this position is required to provide administrative and financial support to the GlycoNet Directors, GlycoNet administrative staff, and all Network Committees and Boards with a minimum of direct supervision.

Duties

  • Provides administrative support to the Financial Administrator for pre-award contracts, notices of award, grant transactions and terminations
  • Prepares travel/accommodation arrangements for staff members, Network investigators, Board and Committee members, and others as directed by Lead Administrative Assistant and processes expense claims
  • Assists in preparation of GlycoNet reports, grant applications and other materials; attends meetings and takes meeting minutes as required
  • Proofreads and formats documents and presentations; helps with data gathering for reporting purposes
  • Runs errands; orders food/refreshments for meetings, sets up presentations; helps GlycoNet staff with special events
  • Assists GlycoNet staff members and management in related administrative tasks

Minimum Qualifications

  • Minimum High School (Grade 12) Diploma; Office Administration Diploma or equivalent is preferred
  • 2 years related experience in a busy administrative office
  • Class 5 driver’s license
  • Excellent communication (oral and written) and interpersonal skills
  • Ability to work independently with minimal guidance
  • Intermediate level proficiency in MS Office applications (Word, Access, Excel, PowerPoint), PeopleSoft, Google Suite (Gmail, Drive, Calendar, etc.), Dropbox, and Adobe
  • Ability to work under pressure and within ongoing deadlines
  • Experience working in a tight-knit environment
  • Superior accuracy and attention to detail
  • Superior organizational skills

Preferred Qualifications

  • Knowledge of PeopleSoft Financials preferred
  • Knowledge of University policies and guidelines preferred
  • Ability to work independently with minimal guidance
