The Registrar's Office staff are committed to strong service excellence in supporting the academic and registrarial needs of current undergraduate, graduate and professional master's students. These services include advising and administration as it relates to registration, financial need, scholarships & awards, and graduation. In addition, the Registrar's Office is responsible for recruitment and admissions of prospective students, administration of experiential learning opportunities (international research, in-field learning courses), scheduling of academic courses and exams and providing faculty support. The staff in the Office work collectively toward enhancing the student experience while being committed to operating under principles of equity, diversity and inclusion.

Your opportunity:

As a member of theRegistrar's Office and working within a team environment, the incumbent will provide a broad range of administrative and front line services related to the delivery and support of the degree programs for approximately 1100 undergraduate and 100 graduate students as well as over 80 teaching staff who deliver 150+ undergraduate and graduate courses annually.

Under the general direction of the Registrar & Director of Student Services, the incumbent is responsible but not limited to providing front-line services, responding to telephone email and in-person inquiries; providing basic advising related to pre and post admission, financial aid, student status and progress, Faculty policy and procedures and University Resources. The incumbent acts as first point of contact for urgent student and instructor concerns, referring to specialist staff as required. S/he offers administrative support including preparation of various publications, packages and websites and composing regular student communicationemails and e-newsletters.

Your responsibilities will include:

  • Acting as the first point of contact for general enquiries
  • Providing detailed information regarding admission requirements toprospective students and applicants
  • Keeping well-informed on University programs, policies and procedures
  • Providing detailed information on processes, policies, and procedures
  • Reviewing and assessing student records to determine academic standing and informing students of changes
  • Tracking and maintaining a calendar of events
  • Updating and maintaining database records
  • Applying established file retention standards in data administration activities

Essential Qualifications:

  • Bachelor's Degree or acceptable combination of related education and work experience in an educational environment
  • Minimum two years of recent and related experience with student front line service and administrative experience working with students, preferably within the University of Toronto or another post-secondary institution
  • Experience providing front line student support and providing information regarding admissions, fees,enrolment and other student related issues
  • Experience preparing routine correspondence
  • Experience working with databases, researching and interpreting data and preparing reports. Experience with organizing the logistics of special events.
  • Experience scheduling and maintaining student records and files and maintaining appointments of team calendars
  • Experience with the University's undergraduate and graduate programs, procedures, guidelines and program offerings, or otherpost-secondary student programs
  • Advanced computer skills (Microsoft Office, Word and Excel) Demonstrated working knowledge of ROSI or other student related system. Ability to interpret reports from ROSI or other student related databases. Proficiency with HTML editors an asset
  • Excellent interpersonal and customer service skills. Strong organizational skills
  • Ability to exercise tact, judgment and diplomacy especially when dealing with confidential information or complaints. Requires accuracy and ability to attend to details. Ability to make decisions that require application and interpretation of guidelines and procedures
  • Professional and welcoming demeanor and able to deal with sometimes difficult and/or demanding individuals. Ability to handle multiple inquiries simultaneously, to prioritize work under pressure and meet deadlines

Pay Scale Group & Hiring Zone:
USW Pay Band 09 -- $65,407 with an annual step progression to a maximum of $83,646. Pay scale and job class assignment is subject to determination pursuant to the Job Evaluation/Pay Equity Maintenance Protocol.
