Duties and Responsibilities:

The FPA Event Coordinator reports to the Manager, Administration and Operations (A&O),
and is responsible for all event planning activities emanating from the Faculty of Public Affairs
(FPA). In addition, the FPA Event Coordinator will coordinate the FPA Ambassador Volunteer
Program, maintain an inventory of FPA-branded promotional material and recognition/gift
items, and perform other duties as required by the Dean of the Faculty of Public Affairs or the
Managers of the Faculty of Public Affairs. The FPA Event Coordinator position will require limited travel within the Ottawa area and, due to the nature of the event schedules, will require some evening and weekend hours to be scheduled in advance.


Qualifications:

The incumbent must possess the following qualifications:
• Proven ability to develop event concepts which align with organizational objectives and
strategies.
• In-depth experience and knowledge about event development, planning, coordination with
general knowledge of industry standards and practices in event planning.
• Strong problem-solving skills and creative thinking for events.
• Innovative with a drive to think “outside the box” and with demonstrated experience
implementing improvement year over year.
• Demonstrated digital event experience using Zoom and Microsoft Teams, including hybrid
event formats.
• Superior ability to multi-task, with excellent organizational and planning skills and the
ability to prioritize in a fast-paced environment.
• Ability to work well under pressure, while maintaining excellent attention to detail.
• Excellent interpersonal skills; works well with individuals at all levels within an
organization.
• Excellent communication skills, both written and verbal; includes strong writing, editing
and proofreading skills and the ability to be compelling/convincing in discussions.
• In-depth experience in creating and maintaining webpages, social media platforms and
email campaigns.
• Superior computer skills including expertise in the use of MS Excel, MS Word, Wordpress
and MS PowerPoint; software database systems, such as Banner; e-procurement systems,
such as eShop and expense and travel management software, such as Concur.
• Demonstrated experience using project management tools.
• Strong professionalism, tact and diplomacy; able to remain calm and with a professional
demeanor under pressure.
• Strong customer service ethic and high expectation for quality.
• Self-motivated, with the ability to exercise judgement and ability to work successfully both
independently and within a team environment.
• Understands financials concepts, maintains financial records and tracks expenses to budget.
• Experience in a university environment is an asset. Some experience with student outreach
is highly desirable.


Education and Experience:

The above is normally acquired through the completion of:
• Completion of a university undergraduate degree. Graduation from a 1-year college program in events management is considered an asset. The equivalent combination of education and experience will be considered as equivalencies
• Five years of administrative experience, including three years of professional events and project planning experience working in a complex, dynamic and fast-paced environment

Important Note Regarding Pandemic Related Operations:

This position is required to work on campus. Exceptionally, since March 2020, many staff and faculty at Carleton University have been working from home in order to comply with public health requirements while continuing to provide services to support the operational functioning of the university. We are currently in the process of identifying positions that need to work on campus as part of our return to campus process. This position may be required to work temporarily remotely due to public health requirements or it may have been identified as one of the roles that are required to work on campus. If this position is required to work on campus, the successful candidate will be informed of the health and safety measures that are in place to ensure their safety on campus. If there is a requirement to work remotely (it is possible that there could be a requirement to work both remotely and on campus), the successful candidate will work with the manager to set up a remote work environment including discussing appropriate technology and requirements. Please note that once public health requirements permit, Carleton University will resume normal on campus operations and at that point there will be a timely notification provided by the manager and the requirement to working full time physically onsite will resume. Therefore, we are looking for candidates currently in or looking to relocate to the Ottawa area.

Additionally, Carleton University is continuing to maintain a safe work environment and requires mandatory vaccination against COVID-19 as per Public Health recommendations under the Reopening Ontario Act. As Carleton University requires that staff be available to attend on-campus meetings and to work, as required, in person, the successful candidate will be required to comply with this policy and be fully vaccinated before commencing employment.
