Department summary

Student Financial Support in the Office of the Registrar provides $40M each year in scholarships, awards, and financial support to undergraduate students. Student Financial Support also administers need-based financial supports to graduate students.

Student Financial Support works closely with the campus community to promote programs and services, and advocates and advises students seeking financial assistance through university programs and government repayable (loan) and non-repayable (grant) support.

Position summary

Reporting to the Manager Operations, the Financial Support Coordinator positions (7) are accountable for ensuring that merit-based and need-based financial supports are administered and maintained in accordance with University policy. The Financial Support Coordinator holds responsibility for expertise and support of the financial support programs offered by Student Financial Support including awards and scholarships, bursaries, government loan support, and emergency funding. Major responsibilities include coordination of financial support programs including promotion of programs, assessment of applications, managing / overseeing competitions, selection of recipients, resolving complex financial student issues, and updating of current state documentation.

Duties

  • Performs the assessment and selection of financial supports based on the established eligibility criteria, assessment guideline/rubrics, and funding terms of reference.
  • Reviews assessment practices and administrative procedures and makes recommendations to streamline processes.
  • Provides exceptional customer service by advising and responding to student inquiries, advocating on behalf of students with complex financial aid situations, and providing referrals to on campus support services as appropriate.
  • Provides expertise on the application procedures and grant programs for all provincial and federal loan programs and has knowledge in all University processes and procedures related to government loans.
  • Acts as a resource to faculties, students, staff, and public regarding all financial support programs with an awareness to unique student contexts (e.g. Undergraduate and Graduate students, domestic and International students, Indigenous students, low-income students, etc.)
  • Develops content for presentations and outreach activities.
  • Compiles, prepares, and reports on trends and projections. Participates in office events and special projects such as Open House, Convocation, outreach activities, and working groups as required.

Minimum Qualifications

  • A post-secondary Degree plus a minimum of two to three years of proven, direct experience working in a university financial support office is preferred. Additional financial background is an asset. Equivalent combinations of related education and experience may be considered. This position is located in Edmonton, Alberta
  • Two - four years experience in a service centered environment, within postsecondary student services, preferably in a University financial support office, or similar setting
  • Demonstrated ability to develop and maintain positive, professional, collaborative working relationships with both internal / external clients and stakeholders
  • Ability to work independently and to build and maintain professional working relationships as a collaborative team member and positive representative of the Student Financial Support unit and the University of Alberta
  • Ability to interact knowledgeably, comfortably, positively, and respectfully with diverse individuals with a broad range of credentials, abilities, and literacy/language levels
  • Excellent verbal, written and interpersonal communication skills with public speaking experience
  • Excellent organization and problem-solving skills with the ability to work independently and meet multiple deadlines
  • Demonstrated experience and ability to deal with sensitive and/or confidential information in a professional manner
  • Computer proficiency using MS Office applications (Word, Excel and Outlook) including working with complex spreadsheets and Google applications (Sheets, Docs, Slides, Email)

Preferred Qualifications

  • A thorough knowledge and understanding of University policies and procedures, especially in the area of student financial support is required
  • Preference for thorough knowledge of the numerous financial support programs, including eligibility criteria, deadlines, application procedures, and the conditions for the receipt of funding
  • Knowledge of PeopleSoft Campus Solutions is preferred
