Reporting to the Manager, Department Administration and Finance, the Financial and Human Resources Assistant is responsible for the operating accounts and human resources processing for the Department of Computing Science. This position is responsible for departmental operating accounts, as well as the Chair’s accounts. In addition, this position is the primary Department HR contact and is responsible for providing HR advice on a day-to-day basis.

Duties

  • Run monthly financial statements using eTRAC and nVision in Peoplesoft Financials; drill each budget line and reconcile all expenditures monthly
  • Reconcile p-card purchases following sound accounting practices and card procedure guidelines
  • Deposit cash and cheques to Operating and Trust accounts
  • Responsible for invoicing external agencies using Peoplesoft Financials
  • Responsible for submitting orders for the department through SupplyNet
  • Responsible for providing HR advice to hiring managers, following University of Alberta policies, procedures, and collective agreements.
  • Create Person ID for guests and pre-hires
  • Manage the ReportsTo App, Intranet, WebApps, and Google Groups
  • Create combo codes for all new research accounts
  • Process door access requests from students, staff, and faculty

Qualifications

  • Minimum of a High School diploma; Bachelor’s degree preferred, preferably in a related area
  • Minimum of 2 years of related experience
  • Thorough knowledge of University policies and procedures in human resources, financial management, and procurement; experience interpreting the collective agreements in place at the University of Alberta would be a strong asset
  • Strong proficiency with Peoplesoft Financials, Peoplesoft HCM, Campus Solutions, Adobe, Google Suite, MS Office
  • High level of accuracy and attention to detail; effective time management skills are required
  • Well-developed interpersonal skills with the ability to relate to diverse groups and ability to deal with sensitive situations in a professional manner
