Financial and Administrative Assistant, SENS

Primary Purpose: To provide financial and clerical support for the School of Environment and Sustainability (SENS). 

Nature of Work: Reporting to the School’s Executive Assistant, this position works closely with the School’s  Finance Strategic Business Advisor and provides clerical support for the research programs of SENS’ faculty and students, as well as general office support.  The incumbent is required to complete a variety of tasks of average complexity, with significant consequence of error.  Accuracy and attention to detail are important, and confidential materials are routinely handled.  While this position works independently with high self-motivation, extensive collaboration with both internal and external stakeholders are required.

 Typical Duties or Accountabilities:

  • Liaise between faculty, students and guests with ConnectionPoint and Concur Travel and Expense and respond to general inquiries related to issues such as international travel, travel advance, and reimbursement of expenses
  • Day-to-day reconciliation of research, operating, and capital funds
  • Investigate missing transaction information; track and follow up on action items
  • Assist with termination of all SENS research grant funds and overheads
  • Work with faculty and students to ensure timely processing of student stipends and/or tuition credits
  • Ensure cash deposits are processed in a timely manner and follow University of Saskatchewan procedures
  • Assist with monthly, quarterly and year-end activities for operating and research funds
  • Purchase supplies and services (following USask procurement policies)
  • Maintain electronic and paper files for audit compliance
  • General office support duties including, but not limited to, photocopying, filing, responding to requests for information (via telephone, e-mail, and in person), processing mail, and the completion of other administrative tasks as assigned

Education: Completion of Grade 12 and a relevant administrative and/or accountancy diploma from a recognized post-secondary institution. Understanding of, and training in, financial accounting is considered a strong asset; however, an equivalent level of education and experience may be considered.

Experience: One to two years of related experience, preferably in a university or post-secondary institution. General accounting experience in an office setting processing expense claims, cheque requisitions, account reconciliations and financial reporting. Proficiency with Microsoft Office Suite, particularly Excel is required. Direct knowledge and experience with University of Saskatchewan systems and functions including Concur, Banner, Banner Self Service, FAST, PCard reconciliations, Crystal Reports, AboutUS and Cash Reports would be an asset.

Skills:  Demonstrated effective organizational and time management skills; ability to multi-task and maintain attention to detail; strong interpersonal and communication skills, including the ability to interact effectively with students, staff, and faculty; ability to take initiative, be self-directed, exercise diplomacy and creativity in solving problems; evidence of relationship building and ability to work collaboratively within a team; strong computer skills including keyboarding and proficiency with Excel, Outlook, and Word are essential.
