Position Summary:
The Faculty of Medicine and Health Sciences financial and human resources activities are organized into Administrative Excellence Centers (AECs), which provide administrative services to our departments, schools, and institutes. Under the leadership of the Director of Finance, Montreal Neurological Institute, the Finance Administrator will be responsible for delivering these services. Under the direction of the Finance Officer, Montreal Neurological Institute, the Finance Administrator provides administrative and management support for all funds within the Montreal Neurological Institute.
Primary Responsibilities:
Perform and organize activities to support the daily operations of the unit by ensuring that accounting functions are carried out in accordance with established goals and objectives.
Administer funds in adherence to internal and external accounting policies and procedures and contract obligations.
Assist or establish financial priorities by monitoring all financial transactions and resources.
Initiate and process a number of accounting activities such as opening accounts, journal entries, advances, requisitions, expense reports, petty cash, supplier invoices and procurement card purchases and check deposits.
Monitor funds by reconciling expenses and deposits against the general ledger and resolve discrepancies.
Verify documents for completeness and compliance with government and private agencies' rules and regulations.
Prepare financial statements and invoices or billings to agencies, donors and other contributors. Reconcile common advance funds and ongoing receivables. Ensure compliance with external reporting guidelines and restrictions.
Approve financial transactions for fund availability, restrictions and proper coding within established limits.
Establish and foster effective working relationships by identifying needs and providing support in the delivery of services. Assess and resolve problems. When appropriate, inform supervisor and formulate recommendations.
Attend meetings.
Other Qualifying Skills and/or Abilities:
Knowledge of accounting and financial management and experience administering a variety of funds and preparing detailed budgets. Familiarity with granting agency regulations and knowledge of McGill fund types (or other University), including experience working with research grants. Experience in workday will be an asset. Service-oriented with excellent customer service skills. Proven ability to effectively communicate and interact with various levels of administrative staff and academics. Proficiency with computerized applications including spread sheets, databases, word-processing software, Banner FIS, Crystal reports. Excellent analytical and problem-solving skills. Demonstrated organizational skills, ability to multi-task, prioritize and meet deadlines. Ability to work autonomously and as part of a team with ability to train staff. Knowledge of French and English. McGill University is an English-language university where day to day duties may require English communication both verbally and in writing.
