Duties and Responsibilities:

Reporting to the Manager Academic Operations, the Faculty Services Coordinator provides administrative support to the Sprott School of Business through coordination of faculty support services including the development of office systems to support timetabling across multiple programs; consultation with the Associate/Assistant Deans regarding the academic timetable for the School; collection of information for the purposes of inputting and updating the academic timetable in Banner; administrative support for the process of new hires including preliminary, term and contract instructor positions; coordination of teaching assistants including recruitment and confirmation of assignment; and overseeing the coordination of course-related materials including outlines, mid-terms, and exams.

In addition, the Faculty Services Coordinator works with the Manager Strategy and Quality to support collection and verification of information pertaining to current faculty and AACSB requirements.

In addition, the Faculty Services Coordinator works to ensure Service Excellence in the School including service to faculty, staff and students including representing the School on academic administrative committees at the University, and, in consultation with the Administrative Officer, develops and supports the implementation of administrative procedures for the School.


Qualifications:

The incumbent must possess the following qualifications:
• Represent the School and University appropriately to current and potential faculty and students at Carleton;
• Knowledge of service excellence;
• People Management skills are essential when working with staff and high-level management;
• Provide feedback and resolve issues in a proactive and timely manner;
• Ability to deal with an array of program and administrative issues in a sensitive manner;
• Creative problem-solving skills;
• Strong knowledge of the programs offered including curriculum requirements for each degree (and respective concentrations) is required;
• Superior organizational skills;
• Ability to generate sophisticated records combined with analysis and presentation of reports is required;
• Ability to plan, organize, and coordinate in a multi-faceted environment;
• Have supervisory experience and demonstrated experience working with staff and resolving issues;
• Excellent oral and written communication skills;
• Experience working with Banner and MS Office.


Education and Experience:

The above is normally acquired through the completion of:
• Undergraduate honours degree, preferably in business, from a recognized Canadian post-secondary institution, or equivalent.
• Three (3) years in the field of post-secondary educational administration. Previous experience must include administration in an academic unit including records management, development of systems and procedures, and supervision of staff.
• Must have demonstrated experience working with Banner and MS Office or comparable.
• Preference will be given to those with AACSB related knowledge and experience.
