Location: This role is hybrid with a mix of remote and in-person and work primarily takes place at North Campus Edmonton.

Position Summary

The Faculty Course Administrator assists with the faculty-wide activities related to course management and provides support to the Faculty’s 200 faculty, staff, sessionals and other instructors. The position will assist members with navigating and understanding new processes, policies, and procedures implemented through the SET initiative, and will play a critical role in resolving issues, removing barriers, and providing support in delivery of teaching and research in the Faculty. This individual will have extensive experience and detailed working knowledge of the requirements of the programs for the entire Faculty of Education and possess excellent interpersonal and multi-tasking skills with flexibility and adaptability when taking direction from multiple sources. Under the supervision of the Academic Faculty Manager, this position requires a collaborative, team-oriented, a diplomatic, and proactive individual capable of working with a great deal of autonomy but also within a team environment through sharing of knowledge and skills and contributing ideas and recommendations.

Duties

  • Liaises with the College and instructors to confirm, change and create course sections schedules and confirm or change instructional spaces for the upcoming academic year.
  • Each term administers the instructor course evaluations (USRls) for each course and section and informs the instructors of the requirement, as needed.
  • Coordinates the collection of course outlines from instructors and ensuring that course outlines meet UAlberta and Faculty of Education policy requirements
  • Responsible for ensuring correct processes are followed for the administration of course evaluations, scheduling of final exams, special exams and assignment of grade
  • Ensures that courses for degree programs delivered at remote locations, such as the Aboriginal Teacher Education Program (ATEP) various locations; the Middle-years Program at Red Deer College; the Teacher Education North Program at Grande Prairie Regional College, are managed effectively and all UAlberta policies and procedures are followed (e.g. syllabus requirements).
  • Ensures Campus Solutions accurately reflects teaching assignments, course requirements and course restrictions.
  • Assists with the developing and implementing faculty policies and procedures to enhance course management and teaching effectiveness.
  • Provides policy and procedure information, problem-solving and trouble-shooting to Administrators and Graduate Coordinators regarding timetabling.
  • Assists with the maintaining of the course reserve list; reviewing and deleting courses in consultation with Faculty Academic Manager
  • Providing general advice and support to AFM

Qualifications:

  • Diploma in a Business Administration program is required; equivalent combinations of education and work experience may be considered
  • 3 to 5 years direct work experience in administration is desired
  • Expert level knowledge of the U of A’s policies, procedures, and collective agreements
  • Adaptable, agile, and technologically savvy; advanced capability with MS Office suite, Google Applications, and PeopleSoft systems
  • Ability to apply organizational readiness and change management principles in the implementation of new programs/processes
  • Ability to coach and take a consultative approach to effectively interact with clients
  • Ability to work in a fast paced, high volume environment and manage projects
  • Demonstrates persuasive, engaging, clear and credible communication to gain support and commitment in varied situations
  • Experience contributing to and/or executing organizational strategies
