Duties and Responsibilities:

Under the general direction of the Assistant Director, Human Resources (Infrastructure and Renewal) the incumbent will be responsible for the preparation of personal documentation for offsite scanning as well as preparing electronic documents for eventual load to document management system. Files and boxes intended for storage scanning will need to be accurately labelled and tracked.

The successful candidate should have proficient understanding of the importance of accurate filling and maintain an accurate record-keeping system. Preferred candidates are focused, organized and thorough.


Qualifications:

The incumbent must possess the following qualifications:
• Preparing personnel files for offsite scanning
• Assessing, organizing, and coding documentation.
• Testing file loads to document management system
• Retrieving records on request and forwarding these to relevant parties.
• Scanning documents and adding to document management system.
• Executing authorized changes to filing system.


Education and Experience:

The above is normally acquired through the completion of:
• Requires a recent post-secondary graduate or in-program post-secondary student.
• Preferred post-secondary disciplines would be:
o Human Resources related disciplines (Business, Management, etc.)
o Communications related disciplines (Communications, English, Journalism)
• Experience in an office setting is preferred.
• Previous experience working with filing and/or document management systems is preferred.
