Job Summary
Dalhousie Medical School attracts some of Canada’s top students, physicians, and health researchers. With campuses in Halifax, Nova Scotia and Saint John, New Brunswick, and over 100 teaching sites across the Maritimes, we provide aspiring doctors and health researchers with the highest caliber education. Reporting to the Director, Governance and Policy, the Coordinator, Education and Governance is an integral part of the Dean’s Office which provide the central management and administrative functions for the Faculty of Medicine. The Coordinator, Education and Governance maintains a responsive working relationship with the Executive Director Operations, and the Chairs of the various committees with which they serve.
Key Responsibilities
  • Plans and manages senior level meetings on behalf of the Dean of Medicine for various counsels, groups, and department heads, ensuring timely distribution of meeting materials.
  • Provides comprehensive administrative support for various committees, including organizing meetings, preparing agendas, meeting materials, briefing notes, assisting with presentations, taking accurate meeting minutes, and coordinating all follow-up actions.
  • Provides effective administrative support for the Governance and Policy and Education portfolios, including day to day email management, meeting support, analyzing materials, and preparing meeting summaries.
  • Supports the survey process for Department Heads and Assistant/Associate Deans, including planning and initiating department surveys, unit reviews, scheduling work plans, and ensuring necessary documentation and data is available.
  • Provides support for various projects, events and task forces/working groups
  • Other support duties for the Dean’s Office as required
Note
The successful applicant will be eligible for hybrid work (combination of in-person work on campus and remote work) as agreed by all parties based on operational requirements and university guidelines.
Required Qualifications
  • Office Administration diploma with a minimum of two years’ related work experience in areas related to office administrative (or equivalent combination of training and experience).
  • Experience using technology applications to facilitate analysis and reporting (e.g., spreadsheets, project management software, etc.)
  • Excellent communication and interpersonal skills required.
  • Strong organizational skills and demonstrated ability to handle multiple priorities.
