Reporting to the Assistant University Librarian (AUL), the Coordinator, E-Reserves & E-Resources is responsible for the provision of e-reserves service in support of teaching and learning at OCAD University, and provides support in e-resources management, setting up trials, collecting user feedback, collecting usage statistics and creating visualizations for reports. 

Summary of Responsibilities: 

E-Reserves  

  • Coordinate e-reserves services throughout the academic year with Interlibrary Loan, Acquisitions/Collections, and Circulation staff to fulfill requests for required reading materials in print and digital formats 
  • Provide e-reserves services for faculty, using databases, Library catalogue and discovery systems to locate requested materials and process requests using e-reserves/rights management and learning management systems (e.g. Leganto and Canvas) 
  • Scan and process e-reserve texts; optimize and edit texts using ABBYY FineReader and Adobe Acrobat software 
  • Oversee copyright clearances and royalties, in accordance with license agreements and copyright law, including associated record keeping and reporting, using automated rights management software (e.g. Leganto and Microsoft Excel) 
  • Communicate service boundaries and request processing statuses to faculty and provide end user support and training on submitting and tracking requests in Leganto 
  • Assist with development of policy and procedures for e-reserves service, in consultation with other Library Technicians, Librarians, and the AUL 
  • Collect data, maintain spreadsheets, and assist with production of reports related to e-reserves responsibilities 

E-Resource Management  

  • Assist in arranging database / electronic resource trials, obtaining quotations and information and compiling evaluation feedback 
  • Update and maintain Databases A-Z, including adding trials and new open-access resources 
  • Assist in reviewing contracts and license agreements, update license information in Alma 
  • Set up and/or collect usage statistics monthly from vendor platforms, Alma and consortia 
  • Liaise with vendors, University’s IT Services and library patrons to troubleshoot access and content problems 
  • Request metadata from vendors to facilitate discovery of e-resources 
  • Assist in off-campus verification of e-resources and document EZproxy access issues 
  • Triage, troubleshoot, and/or resolve access and discovery issues related to Primo 
  • Maintain and assist in implementing updates related to Primo to ensure all library contents are discoverable 
  • Collect data, maintain spreadsheets, and assist with production of reports related to e-resources responsibilities 

Other  

  • Participate in social media outreach to promote library collections, programs, and services as assigned on Twitter, Facebook, Instagram, and other venues  
  • Work scheduled shifts (e.g. afternoons, evenings, weekends) positioned at the Dorothy H. Hoover Library circulation desks and the Library Learning Zone service desk for extended periods of time as scheduled based on service needs 
  • Assist in the coordination and handling of library materials and may be required to lift and/or move objects of up to 5- 15kgs, with the assistance of a trolly if required 
  • Participate in the back up shift program for service desks 
  • Collect and maintain data, metrics, statistics related to the position and duties, recording these monthly on the Library’s shared Excel workbook 
  • Assist the Assistant University Librarian in related tasks and performs other duties as assigned that contribute to the successful operation of Library Services 

Qualifications: 

  • Library Technician diploma with a post-secondary degree in the visual or fine arts, art history, design, or media studies, or equivalent 
  • A minimum of three (3) years of related work experience with a demonstrated strength in customer service, preferably in a post-secondary academic library, or equivalent 
  • Strong computer skills, with a working knowledge of Alma and Primo, automated library systems, learning management systems, and the Microsoft Office suite, including Excel and PowerPoint, and Adobe Acrobat 
  • Experience using Leganto is preferred 
  • Able to adapt to and troubleshoot new software and technology 
  • Strong oral and written communication skills with a demonstrated knowledge of social media tools 
  • Experience with automated rights management and/or electronic reserves systems an asset 
  • Familiarity with library subscription databases and licensing terms as well as copyright law 
  • Technologically proficient in e-resource platforms; efficient and effective web searching skills 
  • Knowledge of and experience in COUNTER 5 and SUSHI, preferred 
  • Basic knowledge in commercial contracts and experience in reviewing license agreements, preferred 
  • Demonstrated knowledge and interest in art and design 
  • Strong organizational skills, demonstrated accuracy and attention to detail 
  • Demonstrated ability to work independently and participate collaboratively in a team environment 
  • Demonstrated commitment to the principles of equity and diversity and experience promoting an inclusive work and learning environment for students, staff and faculty 
  • Must be willing and able to work evening and weekend shifts as required 

Compensation:    OPSEU Unit I, Appendix A, Grade A3; $50,163.56 to $65,081.34 per annum

Hours of Work: 35 hours per week.
