Department summary

The University of Alberta is home to North America's only free-standing Faculty of Rehabilitation Medicine. We provide academic training in rehabilitation science, physical therapy, occupational therapy and speech-language pathology. Our researchers lead their field in areas such as spinal cord injury, mental health, robotics, language development, and the impacts of COVID-19. 

Position summary

The purpose of this position is to provide support to the Academic Coordinator of Clinical Education (ACCE) and the Clinical Education team in management of operations of Corbett Clinic Student Speech-Language Therapy Clinic. This position also provides support within the MScSLP  program in the preparation and execution of some of the clinical learning activities and will also  take on various support staff activities in the Communication Sciences and Disorders Department  as needed.

Duties

Clinic Operations 

  • Responsible for day to day administrative functions of Corbett Clinic 
  • Outline clinic procedures and keep CEs and students advised of changes 
  • Manage client files (paper, electronic) 
  • Manage client intake, discharge, and waitlist 
  • Maintain clinic room scheduling on shared calendars, set up group folders on Google drive
  • Manage clinic email account and phone lines; answer inquiries from parents/guardians, potential clients, school personnel, health professionals, etc. regarding clinic operations; maintain waiting list for new clients in coordination with clinical team
  • Update and create clinic forms as necessary
  • Manage clinic materials and recording equipment (e.g. ordering and receiving new materials, assessment forms, etc)
  • Collaborate with, train, and support resource room students regarding materials and processes
  • Arrange calibration of all equipment for the department in spring
  • General cleaning of all toys/materials in May
  • Count inventory annually
  • Arrange carpet cleaning in clinic & CHEEP in August
  • Collect deposits from students and provide receipts
  • Accounts receivable; i.e., billing and collecting fees, keeping track of client payments
  • Control and order clinic ID badges
  • Control key inventory and provide keys to clinical educators and students for clinic
  • Provide administrative support to ACCE and Clinical Educators (CEs)
  • General office duties as required 

MScSLP Program Support 

  • Under direction of Associate Chair and/or Academic Faculty, assist in preparation,  coordination and execution of practical skills demonstrations and integration activities
  • Under direction of ACCE and CEs, assist in preparation and scheduling of clinic placement  students
  • Coordinate and deliver new student orientation to Corbett Clinic; including physical layout of clinic, procedures for accessing client files, use of recording equipment, record keeping/documentation logistical information etc.
  • Deliver orientation to new students on electronic record keeping software system
  • Assist with and participate in new student orientation on clinic policies and procedures when necessary
  • Serve as resource person for students as they familiarize themselves with clinic procedures and expectations
  • Pull and compile data and financials related to clinic and clinic placements 
  • Collaborate with Clinical Education Administrative Support Unit as required 

Qualifications

  • High School diploma; Bachelors degree preferred
  • 3-5 years of experience in an administrative role, preferably in a post-secondary and/or medical setting 
  • Proficient with Microsoft Office software (Excel, Word), Google suite (docs, drive, sheets) and database software 
  • Strong interpersonal skills required to deal effectively with students, supervisor and clients
