Position Summary:
Reporting to the Director, Administration & Finance, the Clinic Manager is responsible for managing all operations of the Undergraduate Teaching Clinic of the Faculty of Dentistry, located at 2001 McGill College, in support of the Faculty’s undergraduate teaching program (DMD). This includes planning, development and implementation of all administrative processes and supporting policies for the unit; development of standards, practices and systems and acting as a liaison with other University units and external organizations. The Clinic Manager provides leadership, professional advice and guidance as well as administrative support to the Associate Dean, Clinical Affairs, and supervises clinical staff including Administrators, Receptionists, Dental Assistants, Dental Hygienists, Infection Control and Dispensary Technicians. Develops, implements and monitors electronic filing and document sharing systems. Ensures comprehensive, integrated record keeping, proper management of contracts, and timely follow-ups of all service agreements and other formal relationships.

Primary Responsibilities:

  • Manages the day-to-day operations and financial transactions of the Undergraduate Teaching Clinic and the Simulation Lab located at 2001 McGill College.
  • Supervises, leads and coaches all staff of the Undergraduate Teaching Clinic and pre-clinic, including Administrators, Receptionists, Dental Assistants, Dental Hygienists, Infection Control and Dispensary Technicians, addresses labour related issues in collaboration with the HR Advisor; provides development, learning and team building opportunities.
  • Ensures a healthy work environment and implements equity, diversity and inclusion strategies to increase social sustainability in the Faculty of Dentistry.
  • Promotes effective communication strategies and involves clinical staff in decision-making processes related to their duties to ensure positive relationships in the work environment.
  • Acts as a liaison person between the academic teaching staff and the clinical instructors that supervise Dentistry students for various clinical activities.
  • Manages all payroll procedures and ensures exercise of budgetary controls for the Undergraduate Teaching Clinic; produces financial reports and statistical reports on clinical productivity, plans and develops budgets and forecasts.
  • Monitors the day-to-day utilization of clinical units, provides periodic reports and develops strategies to optimize the productivity of clinical activities.
  • Ensures that University Financial and Procurement policies and procedures are followed. Prepares periodic variance reports for the Finance team.
  • Oversees inventory management system (stockroom) and purchases for all clinics, including supervision of the Head Storekeeper and Storekeeper.
  • Ensures that the Undergraduate Teaching Clinic meets the standards of the Ordre des Dentistes du Quebec (ODQ).
  • Manages various problems of students and staff with patients.
  • In conjunction with the Associate Dean, Clinical Affairs, develops and implements guidelines for student-patient management, charting and treatment reporting, Clinical administrative procedures, financial management of patients and interface to the AbelDent database.

Other Qualifying Skills and/or Abilities

  • In-depth knowledge of and management experience in a clinical setting or in a dental office is required.
  • Graduate degree in business administration or finance is an asset.
  • Excellent interpersonal skills are required.
  • Must be client-focused and service-oriented with a proven ability to deal with people at all levels.
  • Demonstrated ability to handle delicate situations effectively and diplomatically.
  • Proven knowledge of finance and budget planning.
  • Experience with McGill Financial Information Systems is an asset.
  • Experience with dental management and imaging softwares is an asset.
  • Fluent in English and French, spoken and written.
