Compensation Range

This position involves a two-year secondment to the Integrated Renewal Program (IRP). The successful candidate will actively contribute to the project's objectives, bringing their expertise to drive successful project outcomes. Upon the closure of the project, per Article 5.4.3 of the AAPs agreement, subject to the discontinuation of the original position under Article 9, the employee shall be returned at the end of the secondment period to their original position.

Job Summary

The Office of the Chief Information Officer (OCIO) | Program Delivery group is seeking a Business Process Management (BPM) Analyst with expertise in Appian to join our team.
 

The BPM Analyst analyzes, designs and optimizes business processes for business needs and develops overall strategies for how automated systems can be used to support the short- and long-term direction of the business.


The BPM  Analyst provides expertise in the areas of business process discovery and definition, requirements definition, analysis and design, configuration, implementation, testing, training, facilitation and documentation to deliver enterprise solutions to the UBC community.
The BPM Analyst will own and drive the business analysis process. The role is a key link between the technical team, Process Excellence and business stakeholders to ensure effective solutions are delivered which drive meaningful and measurable business value. The candidate would also support the facilitation of discovery sessions across multiple teams and business units and lead the adoption / implementation activities associated with new solutions within the business.
 

The BPM Analyst will work on multiple project teams from intake to deployment by conducting process analysis and design, planning test, supporting user acceptance test and preparing for client operational support. The candidate liaises with technical and functional staff throughout UBC and externally to other Universities, agencies, and partners to facilitate effective solutions that meet requirements. The incumbent will also provide operational for the projects that are in production.


Organizational Status

The BPM Analyst works within the sustainment team that consists of Analysts, developers, functional experts, and other project specialists, and reports directly to the BPM Manager.


The BPM Analyst will work closely with senior leadership and staff in other administrative and academic units.


Work Performed

Specific Duties:

  • Plan, organize, manage, monitor and be responsible for the business process analysis activities of projects.

  • Understand business context, project justification, business goals, and priorities and update and maintain documentation on such

  • Understand and apply business architecture concepts to ensure strategic alignment with organizational goals, outcomes and business value.

  • Recommend types of working groups, and leads working groups to support the discovery and analysis of business processes and requirements and the design of new solutions.

  • Document current state business process, capture issues and opportunities and understand proposed future state, identifying gaps to achieve that state.

  • Develop business requirements documents, solutions requirements documents, functional requirements.

  • Partner with and support architects in the creation of current and future state architecture.

  • Create process maps, data maps, data model, data flow diagrams and work with and support data architects.

  • Collaborate with integration architects to design integrations.

  • Recommend options for the implementation of business solutions.

  • Provide guidance and leadership to testing teams (end users etc.) and/or develops user test cases and validates test results during user acceptance testing, system acceptance testing and operational acceptance testing.

  • Acquire and maintain a working knowledge of the university's technical and business environment.

  • Participate in the continuous improvement of the business analysis methodology via recommendations and suggestions, lessons learned and working groups.

  • Actively seeks ongoing career development through self-motivated professional development in the field of business analysis

Core Duties:

  • Analyzes business needs utilizing a structured requirements process (gathering, analyzing, documenting, and managing changes).

  • Develops overall strategies and provides advice on options, risks and costs versus benefits.

  • Communicates with stakeholders of varying technical ability and subject matter expertise and explains services to clients of all management levels to ensure they have a clear understanding of IT roles, processes, and activities.

  • Manages liaison relationship with clients to ensure technical solutions meet user needs.

  • Conducts feasibility studies and drafts proposals for evaluation by appropriate users and managers.

  • Leads short and long-term planning sessions to implement integrated business process improvements.

  • Identifies, elicits, and documents business requirements, defines business rules and communicates requirements for the implementation of business solutions.

  • Prepares functional, system and program specifications bridging multiple projects.

  • Reviews test plans and monitors the testing process to ensure that business results are adequately tested with minimal risk.

  • Procures technical assistance to help in problem resolution.

  • Maintains appropriate professional designations and up-to-date knowledge of current information technology techniques and tools.

  • Performs other related duties as required.


Consequence of Error/Judgement

Information Technology plays a key role in enabling the University to achieve its goal of becoming one of the world's leading universities. The BPM Analyst plays a significant role in the implementation of enterprise-wide systems and processes. Should these projects not be completed successfully or the results not support the activities of the University, this would compromise the University's ability to achieve its strategic goals and vision. Inability of systems and processes to support the University's needs could seriously compromise daily businessand activities at the University.
 

This position must assume responsibility for business requirement decisions that could have significant financial impact on the University. This position must be able to foresee potential problems before they occur and take corrective action.


Supervision Received
The BPM Analyst works within the program delivery team that consists of Business Analysts, Developers, functional experts, and other project specialists, and reports directly to the Senior Manager, while working closely with senior leadership and staff in other administrative and academic units.
Supervision Given
In general, provides coaching and mentoring to new team members on the project related to system implementation and provides leadership and education to other staff in UBC IT and client departments on demonstrated areas of expertise. May supervise work of other business analysts on a project.
Minimum Qualifications

Undergraduate degree in a relevant discipline. In-depth knowledge of applications and the business requirements supporting them. Minimum of five years of related experience, or the equivalent combination of education and experience.

Preferred Qualifications

  • Business Analysis professional designation is an asset.

  • Supervisory experience is an asset

  • Experience with implementing BPM, Robotic Process Automation (RPA), Customer Relationship Management (CRM), Recruitment Systems, Salesforce, APIs, MuleSoft, Utility Management Systems (UMS), Student Information Systems (SIS), Workday (WD) or other similar off-the- shelf (COTS) software

  • Project experience in a higher-education environment, policy and regulatory compliance situations is an asset.

  • Experience demonstrates progressive responsibility, preferably in a University or other public sector environment.

  • Experience in change management, data management, and solution and enterprise architecture

  • Technical expertise and experience in Information technology project management of large scale, commercial, off-the- shelf COTS systems including related experience in managing systems development, enterprise architecture, and business process change, quality assurance and testing as it applies to COTS and custom systems, data migration and systems integration.

  • Effectively manage multiple tasks and priorities, work in a fast-paced environment, and manage responsibilities and tasks to meet time sensitive, critical deadlines.

  • Intermediate knowledge of applications development methodologies, as well as development and implementation best practices, "rules of thumb", and benchmarks.
